Job summary

Minnehaha County State's Attorney's Office seeks a Legal Administrative Specialist to support attorneys with document preparation, case management, and court logistics in Sioux Falls, SD.

You will prepare legal documents, manage case files, coordinate with witnesses and grand jury members, and maintain calendars while providing crucial administrative support for adult and juvenile criminal cases and abuse/neglect matters.

Qualifications

  • High school diploma or GED plus two years of general secretarial work.
  • Must complete pre-employment background process.
  • Proficiency with Word and Outlook; Excel and PowerPoint experience preferred.
  • Confidential handling of sensitive information; strong organizational skills.

Responsibilities

  • Prepare, type, and disseminate a diverse array of legal documents (letters, orders, warrants, motions, subpoenas, briefs).
  • Answer and direct phone calls; greet visitors and assist inquiries.
  • Maintain and organize case files; input data into databases; track and distribute files/reports.
  • Update scheduling calendars; coordinate with witnesses, victims, and grand jury members.
  • Prepare grand jury room and materials for proceedings.
  • Create, maintain, and organize files for the attorneys supported.
  • Distribute and track files, reports, and case information.
  • Maintain meticulous records and statistics for organizational purposes.
  • Handle incoming and outgoing mail to ensure seamless operations.

As a vital member of our dynamic team of legal professionals, you'll play a crucial role in the justice system. Our office, which comprises 11 Legal Administrative Specialists, is dedicated to supporting attorneys with essential tasks such as legal document preparation, case management, and the logistical arrangements of legal proceedings.

As a Legal Administrative Specialist, you'll have the opportunity to make a significant impact on our community. Your responsibilities will include preparing and disseminating legal documents, managing case files, assisting with legal proceedings, and providing essential support to top prosecutorial attorneys in adult criminal cases, juvenile criminal cases, and cases involving abuse and neglect.

Salary- $25.53-28.15 per hour

How You Will Make an Impact
  • Prepare, type, and distribute a diverse array of legal documents, including letters, orders, complaints, warrants, summonses, motions, subpoenas, and briefs, utilizing office software and filing systems.

  • Answer and direct phone calls; greet and assist walk-in visitors with inquiries.

  • Maintain and organize case files and attorney assignments; update records and input data into agency databases; track and distribute files and reports.

  • Update and maintain scheduling calendars; coordinate with witnesses, victims, and grand jury members regarding changes or updates to legal proceedings.

  • Prepare the grand jury room and necessary materials to ensure the smooth conduct of proceedings.

  • Create, prepare, and maintain files and information for the attorneys you support.

  • Efficiently distribute and track files, reports, and case information.

  • Maintain meticulous records and statistics for organizational purposes.

  • Handle incoming and outgoing mail to ensure seamless operations.

What You Need to Succeed in this Role

High school diploma or GED plus two years of general secretarial work. Comparable combination of education and experience. Must successfully complete pre-employment background process. Working knowledge of modern office practices and procedures and legal terminology. Knowledge of and skill in using technology and related software systems with reasonable speed. Maintain confidentiality when handling sensitive or restricted information. Effective verbal and written communication. Ability to build and maintain positive, collaborative relationships with colleagues, other agencies, and the public. Present a professional appearance and communicate with others in a respectful and approachable way. Possess excellent attention to detail with the ability to multi-task. Must be self-motivated and able to meet deadlines under pressure. Must possess a willingness to learn and exhibit flexibility in a fast-paced environment. Must have the ability to work as part of a team, as well as to work independently. High level of proficiency with Word and Outlook, experience with Excel and PowerPoint. Attention to detail with high precision in proofreading, data entry and file management.
