Middleburg is currently hiring a experienced Leasing Manager. Under the direction of the Property Manager, the Leasing Manager is responsible for excellent customer service in the coordination of all aspects of apartment leasing operations and acts in that capacity in the absence of the Property Manager. Emphasis on the administration of the leasing office, assistance in monitoring the financial operations of the property for maximization cash flow while preserving assets, achievement of budgeted NOI, providing a quality living environment for residents, establishing a positive working environment for property team members, and leading by example.

Under the direction of the Property Manager, the Leasing Manager is responsible for excellent customer service in the coordination of all aspects of apartment leasing operations and acts in that capacity in the absence of the Property Manager. Emphasis on the administration of the leasing office, assistance in monitoring the financial operations of the property for maximization cash flow while preserving assets, achievement of budgeted NOI, providing a quality living environment for residents, establishing a positive working environment for property team members, and leading by example.

Position Overview
Financial/Administrative:
  • Responsible for OneSite input, timely rent collection, delinquencies, banking activities with daily deposits, preparation of collection documents, personally contacting residents to collect overdue rent, collecting late charges, and making court appearances when necessary.
  • Assist in meeting revenue goals, through maintaining or exceeding occupancy budget, ancillary income, market incentives, resident retention, and monitoring property’s financial performance as it compares to the annual operating budget.
  • Responsible for all administrative functions; accuracy and timely preparation of OneSite reporting documentation including A/R, A/P, and monthly variance reports.
  • Responsible for maintaining accurate payroll reporting including e-time editing and bonus preparation.
Marketing:
  • Establish, monitor, and track the performance of leasing team members; input daily traffic numbers, maintain the closing ratio of 33%, perform at 85%+ on shopping reports, verify the leasing team’s understanding of rental policies and goals.
  • Lease apartments, respond to telephone inquiries, qualify applicants, show apartments, and prepare all move-in paperwork. Manage renewals; track lease expirations, and prepare lease expiration letters and renewal leases.
  • Maintain ongoing, in-depth knowledge of the associated market to give a competitive edge, perform monthly market studies, and physically shop competition bi-monthly.
  • Assist in monitoring compliance with Fair Housing regulations and other laws as they relate to property-specific guidelines in occupancy standards.
  • Assist in monitoring service operations to ensure vacant apartments are in market-ready condition within Mission-approved standard downtime. Walk tour route, inspect market readies, and model each morning.
Customer Service:
  • Assist in planning and preparation of resident functions and community newsletter.
  • Daily walk the property for curb appeal, condition, and safety making appropriate recommendations for improvement.
  • Assist in monitoring service operations to ensure service requests are completed within 24 hours; curb appeal standards are met per the Regional Property Manager’s Inspection Report.
  • Accept and enter resident service requests. Ensure excellent customer service by answering the phone within Mission's approved number of rings, providing same-day or maximum 24-hour follow-up, and displaying a courteous and professional attitude toward all customers at all times.
  • Advise the Property Manager of conditions of the community affecting the resident's safety, dissatisfaction, and to preserve the asset.
  • Available for emergencies, on-call duties, resident functions, community-affiliated functions, and weekends.
People Development:
  • Assist Property Manager in recruiting and selecting team members, understanding and adhering to the hiring policies and procedures.
  • Assist Property Manager in training, coaching, and mentoring team members; ensure team members receive the necessary training and adhere to company policies and procedures.
  • Provide ongoing feedback to team members. Assist the Property Manager in evaluating team members and taking corrective action as necessary according to company policy.
  • Lead by example. Take accountability for your actions on the property.
  • Perform other duties as required.
Requirements
Desired Knowledge and Experience:
  • High school diploma or equivalent and 3 years of leasing/property management experience; or 4-year degree and 1-year leasing/property management experience.
  • 2 years of related experience in sales, customer service, or marketing experience.
  • Proficient computer skills including Office365, Outlook, and Excel
  • Working knowledge of applicable Landlord Tenant Laws, Fair Housing mandates, and other legal issues affecting property management.
  • Basic knowledge of office equipment including printers, telephones, etc.
  • Excellent communication skills, both verbal and written.
  • Knowledge of personal computers, Internet applications, and property management software.
