Brief Description

Middleburg is seeking an experienced Assistant Community Manager to enhance resident customer service and assists in managing the community operations, leasing process, collections, financial reporting, communications of the community and to act in that capacity in the absence of the Community Manager.

Position Overview
Financial/Administrative:
  • Responsible for OneSite input and achieving financial objectives through timely rent collection, managing delinquencies, banking activities with daily deposits, preparation of collection documents, personally contacting residents to collect overdue rent, collecting late charges, and make court appearances when necessary.
  • Assist in meeting revenue goals, through maintaining or exceeding occupancy budgeted, ancillary income, market incentives, resident retention, and monitoring property’s financial performance as it compares to the annual operating budget.
  • Responsible for all administrative functions; accuracy and timely preparation of OneSite reporting documentation including A/R, A/P and monthly variance reports.
  • Responsible for maintaining accurate payroll reporting including timecard edits and bonus preparation.
  • Available for emergencies, on-call duties, resident & community affiliated functions, and weekends.
  • Advise Community Manager of conditions of the community affecting the resident's safety, dissatisfaction, and to preserve the asset.
Marketing & Customer Service:
  • Establish, monitor, and track performance of leasing team members; input daily traffic numbers, maintain closing ratio of 33%, perform at 85%+ on shopping reports, verify leasing team’s understanding of rental policies and goals.
  • Assist with leasing job duties, including touring prospective residents and preparation of all lease agreements and documents, as directed to meet business need.
  • Manage renewals; track lease expirations, prepare lease expiration letters and renewal leases.
  • Maintain on-going, in-depth knowledge of associated market to give a competitive edge, perform monthly market studies and physically shop competition bi-monthly.
  • Assist in monitoring compliance with Fair Housing regulations and other laws as they relate to property specific guidelines in occupancy standards.
  • Assist in monitoring service operations to ensure vacant apartments are in market ready condition within company approved standard downtime.
  • Assist in planning and preparation of resident functions and community newsletter.
  • Daily property walks to ensure standards are met per the RPM Inspection Report for curb appeal, condition, and safety making appropriate recommendations for improvement. Additionally, walk the tour route, inspect market readies & model each morning.
  • Ensure excellent customer service by answering the phone within company approved number of rings, provide same day or maximum 24 hour follow up and always display a courteous and professional attitude toward all customers.
People Development:
  • Assist Community Manager in recruiting and team member selection.
  • Assist Community Manager in training, coaching, and mentoring team members; ensure team members adhere to company policies and procedures.
  • Provide ongoing feedback to team members. Assist Community Manager in evaluating team members and taking corrective action as necessary according to company policy.
  • Lead by example. Take accountability for your actions on the property.
  • Perform other duties as required.
Physical Requirements
  • This position primarily performs office work and requires use of telephones and computers.
  • Must be able to walk apartments and grounds including steps.
  • Occasionally requires lifting 20 pounds or less.
  • May require driving of golf carts.
Requirements
Desired Knowledge and Experience-
  • A high school diploma or equivalent with 2 years of Assistant Manager experience is required; Bachelor’s degree is preferred.
  • 2+ years of experience in the property management, hospitality, or retail industries.
  • Proficient computer skills in a Windows environment, including property management software (OneSite preferred), and computerized accounting experience.
  • Working knowledge of applicable Landlord Tenant Laws, Fair Housing mandates, and other legal issues affecting property management.
  • Excellent communication skills, both verbal and written.
  • The normal work schedule is a Monday - Friday schedule with rotating weekends; (hours may vary to meet the business needs of the property).
