Job summary

Responsibilities include leasing presentations, applications, move‑ins, renewals, and maintaining accurate files. Proactive outreach and strong customer service are essential in a fast-paced, onsite environment.

Qualifications

  • High school diploma required.
  • Minimum of one year of customer service experience preferred.
  • Minimum of one year of residential leasing experience preferred.

Responsibilities

  • Rent apartment homes and generate traffic, respond to inquiries, greet prospects, tour property, qualify prospects, and close leases.
  • Visually inspect property and model units; communicate service needs to the Property Manager.
  • Demonstrate community features and close sales by matching needs to available homes.
  • Process rental applications, obtain documents, schedule move‑ins and prepare lease files.
  • Maintain lease files per policy and procedure.
  • Record traffic and strive to convert at least 30% of traffic to leases.
  • Follow up with prospective residents within 24 hours and with additional contacts.
  • Assist in planning and executing marketing and outreach to generate traffic.
  • Support on-site operations and assist with scheduling and move‑ins.

Job Summary

The Leasing Consultant is responsible for coordinating all activities related to apartment rentals, move‑ins, move‑outs, and lease renewals. This position is responsible for interacting directly with prospective and current residents to achieve maximum occupancy and ensure resident retention and client satisfaction. The Leasing Consultant is also responsible for assisting the Property Manager and Assistant Manager as directed.

Essential Duties and Responsibilities

Perform all tasks related to renting apartment homes including generating traffic, responding to telephone and internet inquiries, greeting prospective residents, touring prospective residents throughout the property, qualifying prospects, and closing the sale by obtaining a rental application and a deposit.

Visually inspect entire property (office, models, compactor, vacants, and amenity areas) daily for cleanliness. Inspect and touch up model units. Communicate related service needs to Property Manager.

Demonstrate community and apartment/model and apply product knowledge to clients’ needs by communicating the features and benefits; close the sale.

Process rental applications, obtain required documents, schedule move‑ins and prepare all lease file documents.

Maintain lease files per policy and procedure.

Accurately record traffic from all sources, daily, and convert minimum of 30% total traffic to leases.

Follow up with prospective residents, including a phone call within 24 hours and a minimum of two additional follow up contacts.

Assist with planning and implementation of community marketing plan to generate traffic.

Outreach marketing visits on a weekly basis. Maintain leads and contacts.

Pick up trash off the ground, operate trash compactor when necessary and if needed, carry cleaning supplies and/or vacuum up or down stairs to apartment homes, and clean apartment to bring it up to resident ready standards.

General Office/Administrative Responsibilities

Record resident service requests accurately and in detail to assist the maintenance team in the timely completion of all requests.

Schedule and inspect apartments for move in.

Receive and acknowledge resident notices and prepare files.

Assist in lease renewal procedure: Complete lease renewal printout and submit to manager for approval. Contact each resident by phone prior to 90 days before the end of his or her initial term. Send renewal letters to those residents you are unable to reach by phone. Type new leases and all applicable addendums.

Assemble move‑in packages.

Keep market survey of competitor rates up to date at least monthly and visit competitors three times annually. Keep all filing current.

Schedule guest apartment and clubhouse rentals.

Operate office alarm system in conjunction with opening and closing the office.

Deliver thorough move‑in presentation to new residents.

Customer Service Responsibilities

Communicate clearly to residents, both verbally and in writing, using proper grammar and spelling.

Carry and deliver boxes, flowers, newsletters, correspondence, etc. to residents’ apartments.

Maintain a complete clean and neat appearance. Must adhere to Pioneer’s Dress Code and Personal Hygiene Policy at all times.

Demonstrates customer service skills by treating residents, coworkers, supervisors, and vendors with respect, answering questions in a calm and open manner from coworkers and residents. Responds sensitively to concerns/complaints and exhibits a sense of urgency.

Company Responsibilities

Flexible with the work schedule, including availability to work weekends, evenings, and/or holidays.

Education and Experience Required

High school diploma required, college degree preferred.

Minimum of one year of previous customer service and/or sales experience is preferred.

Minimum of one year of previous residential leasing experience is preferred.

Skills and Requirements

Excellent written and verbal communication skills providing for effective communication with residents, prospects, employees, peers, vendors, owners, etc.

Excellent interpersonal skills to effectively and sensitively communicate with all levels of management.

Sensitivity to confidential matters is required.

Ability to cope with and defuse situations involving angry or difficult people.

Ability to use general office equipment, such as telephone, fax machine, printer, copier, and key track system.

Computer software experience to include MS Word, MS Excel, MS PowerPoint, MS Outlook and YARDI®.

Basic understanding of Federal, State, and local Fair Housing laws.

Ability to work independently and prioritize effectively in a fast‑paced environment with a strong sense of urgency.

Scheduling

Required to maintain a regular schedule which may require working overtime, weekends, and non traditional holidays.

May be required to be on‑call and aid during staffing deficiencies on‑site.

Physical Demands and Work Environment

Sedentary work typically in an office environment.

Ability to lift, push and pull up to 25 pounds is occasionally required.

Stooping, crouching, reaching, and standing are occasionally required.

Talking, hearing, and seeing with close visual acuity are frequently required.

Ability to walk around the property several times daily (on uneven surfaces and/or climb several flights of stairs).

Driving a golf cart on the property may be required.

Ability to work under minimal to moderate supervision.

Ability to tolerate stressful situations.

Compensation Range: $16.00-$18.00
