Job Summary
The Leasing Consultant coordinates all activities related to apartment rentals, move‑ins, move‑outs, and lease renewals. The role interacts directly with prospective and current residents to achieve maximum occupancy, ensure resident retention, and deliver client satisfaction. The Leasing Consultant also assists the Property Manager and Assistant Manager as directed.
Essential Duties and Responsibilities
- Generate traffic and respond to telephone and internet inquiries.
- Greet prospective residents, conduct property tours, qualify prospects, and close sales by obtaining rental applications and deposits.
- Visually inspect the entire property—including office, models, compactor, vacant units, and amenity areas—daily for cleanliness; touch up model units and communicate service needs to the Property Manager.
- Demonstrate community and apartment/model knowledge, communicate features and benefits, and close sales.
- Process rental applications, obtain required documents, schedule move‑ins, and prepare all lease file documents.
- Maintain lease files in accordance with policy and procedure.
- Accurately record all traffic sources daily and convert at least 30% of total traffic to leases.
- Follow up with prospective residents: phone call within 24 hours and a minimum of two additional contacts.
- Assist with planning and implementing the community marketing plan to generate traffic.
- Conduct outreach marketing visits weekly; maintain leads and contacts.
- Perform trash pickup, operate the trash compactor when necessary, carry cleaning supplies, vacuum, and clean apartments to resident‑ready standards.
General Office/Administrative Responsibilities
- Record resident service requests accurately to assist the maintenance team.
- Schedule and inspect apartments for move‑in.
- Receive and acknowledge resident notices; prepare files.
- Assist with lease renewal procedures, including printing renewal forms, contacting residents 90 days before the end of term, sending renewal letters, and typing new leases and addendums.
- Keep market surveys of competitor rates updated monthly and visit competitors three times annually.
- Maintain current filing system.
- Schedule guest apartment and clubhouse rentals.
- Operate the office alarm system in conjunction with opening and closing the office.
- Deliver a thorough move‑in presentation to new residents.
Customer Service Responsibilities
- Communicate clearly to residents verbally and in writing with proper grammar and spelling.
- Carry and deliver boxes, flowers, newsletters, correspondence, etc. to residents’ apartments.
- Maintain a clean and neat appearance and adhere to the Dress Code and Personal Hygiene Policy.
- Demonstrate customer service skills: treat residents, coworkers, supervisors, and vendors with respect, respond calmly and openly to questions, and handle concerns or complaints with urgency.
Company Responsibilities

Education and Experience Required
- High school diploma required; college degree preferred.
- Minimum one year of previous customer service and/or sales experience preferred.
- Minimum one year of previous residential leasing experience preferred.
Skills and Requirements
- Excellent written and verbal communication skills.
- Excellent interpersonal skills to communicate effectively and sensitively with all levels of management.
- Sensitivity to confidential matters.
- Ability to cope with and defuse situations involving angry or difficult people.
- Proficiency with general office equipment (telephone, fax machine, printer, copier, key track system).
- Computer software experience: MS Word, MS Excel, MS PowerPoint, MS Outlook, and YARDI.
- Basic understanding of Federal, State, and local Fair Housing laws.
- Ability to work independently, prioritize effectively in a fast‑paced environment with strong sense of urgency.
Scheduling
- Maintain a regular schedule; may require overtime, weekends, and non‑traditional holidays.
- May be required to be on‑call and assist during staffing deficiencies on site.
Physical Demands and Work Environment
- Primary duty is sedentary office work; occasional lifting, pushing, and pulling up to 25 pounds.
- Occasional stooping, crouching, reaching, and standing.
- Frequent talking, hearing, and seeing with close visual acuity.
- Walk around the property several times daily, including uneven surfaces and climbing multiple flights of stairs.
- Possibly operate a golf cart on the property.
- Work under minimal to moderate supervision and tolerate stressful situations.
