Job summary

True North Management, Inc. is seeking a motivated Leasing Agent in Alexandria, MN to join a growing property management team. You will focus on lead generation, property showings, applications, and lease execution, delivering an exceptional resident experience.

The role requires strong communication and sales skills, teamwork, and the ability to manage multiple prospects while collaborating with Leasing Manager, Operations, Maintenance, and Accounting teams.

Qualifications

  • Previous property management, leasing, real estate, sales, hospitality, or customer service experience preferred.
  • Strong understanding of leasing practices and an interest in real estate and property management.
  • Knowledge of local rental market conditions and housing trends preferred.
  • Excellent communication, negotiation, customer service, and sales skills.
  • Strong organizational skills and attention to detail.
  • Ability to confidently conduct property tours and communicate with prospective residents.

Responsibilities

  • Respond to prospective tenant inquiries promptly by phone, email, text, website, and other lead sources.
  • Generate and convert leasing leads into qualified applicants and signed leases.
  • Conduct property showings and tours for prospective residents, including occasional evening or weekend appointments.
  • Conduct and assist with open houses, resident engagement, and leasing events.

Position Overview

True North Management is seeking a motivated, personable, and detail-oriented Leasing Agent to join our growing property management team.

The Leasing Agent will work directly under the direction of the Leasing Manager and will play an important role in maintaining strong occupancy, maximizing rental revenue, and delivering an exceptional experience to prospective and current residents.

This is a hands‑on sales and customer service position focused heavily on generating and converting leads, conducting property showings, following up with prospects, processing applications, executing leases, coordinating move‑ins, and supporting resident retention.

The ideal candidate is a confident communicator who enjoys working with people, is comfortable in a sales environment, follows through consistently, and can manage multiple prospects and priorities at once. The Leasing Agent should be comfortable working independently while also collaborating closely with the Leasing Manager, Operations, Maintenance, Accounting, and other members of the True North Management team.

Key Responsibilities
Leasing & Sales
  • Respond promptly and professionally to prospective tenant inquiries by phone, email, text, website, and other lead sources.
  • Generate and convert leasing leads into qualified applicants and signed leases.
  • Conduct property showings and tours for prospective residents, including occasional evening or weekend appointments when necessary.
  • Conduct and assist with open houses, resident engagement, and leasing events.

  • Follow up consistently with prospective tenants throughout the leasing process.
  • Work toward assigned leasing, occupancy, lead‑conversion, and leasing‑performance goals.

Marketing & Advertising
  • Advertise vacant properties across online rental platforms and other approved marketing channels.
  • Create and maintain accurate property listings, descriptions, photos, virtual tours, and other marketing materials.
  • Monitor listings for accuracy, availability, pricing, and presentation.
  • Assist with social media and other marketing initiatives as directed by the Leasing Manager.
  • Maintain a strong understanding of competing properties, rental rates, availability, amenities, and housing trends in the local market.
  • Communicate relevant local market information and prospect feedback to the Leasing Manager.
  • Assist with marketing initiatives designed to reduce vacancy and improve leasing performance.
Applications & Tenant Screening
  • Explain the application process, requirements, and qualification criteria to prospective residents.
  • Process rental applications accurately and efficiently.
  • Coordinate required credit, criminal, rental history, and background screening in accordance with company policies on an as needed basis.
  • Communicate application decisions and next steps to applicants professionally and promptly.
  • Maintain confidentiality of applicant and resident information.
  • Apply company‑approved screening criteria consistently and fairly.
  • Follow all applicable Fair Housing and Equal Housing Opportunity requirements throughout the leasing process.
Lease Administration & Move‑Ins
  • Prepare lease paperwork and related documents for review and execution.
  • Coordinate lease signing and ensure required documentation is completed.
  • Assist with scheduling and coordinating resident move‑ins.
  • Communicate move‑in instructions, expectations, and required documentation to new residents.
  • Coordinate with the Leasing Manager, Operations, and Maintenance teams to ensure units are ready for occupancy.
  • Maintain organized and accurate leasing files and records.
  • Assist with other leasing‑related administrative duties as assigned.
Renewals & Resident Retention
  • Assist the Leasing Manager with lease renewal activity and resident retention efforts.
  • Contact residents regarding upcoming lease expirations and renewal opportunities.
  • Prepare and distribute renewal paperwork as directed.
  • Follow up with residents to encourage timely renewal decisions.
  • Assist with negotiating approved renewal terms and completing renewal documentation.
  • Work alongside the Leasing Manager and office administration team to improve lease renewal performance.
  • Maintain positive resident relationships throughout the renewal process.
Property Visits, Inspections & Maintenance Coordination
  • Conduct periodic property visits and inspections of actively leased properties as assigned.
  • Inspect vacant properties and ensure they are clean, presentable, and ready to be shown.
  • Identify maintenance, cleanliness, safety, or property-condition concerns and communicate them promptly to the maintenance team.
  • Schedule or coordinate necessary maintenance and repairs as directed.
  • Coordinate with the Maintenance team regarding turnover work, show‑ready conditions, and resident‑reported leasing‑related issues.
  • Assist with move‑out coordination, inspections, and documentation when requested.
  • Communicate property condition and maintenance concerns to the Leasing Manager and Operations team.
Tenant Relations & Customer Service
  • Serve as a professional point of contact for prospective and current residents.
  • Respond to resident questions and concerns promptly and courteously.
  • Assist with resolving leasing‑related resident issues and escalade matters to the Leasing Manager or appropriate department when necessary.
  • Assist residents with rental payment questions and direct payments to the appropriate True North Management payment channels.
  • Maintain positive, professional relationships with residents throughout the leasing process.
  • Help create a welcoming and service‑focused experience for every prospect and resident.
Team & Administrative Support
  • Work closely with the Leasing Manager, Operations, Maintenance, Accounting, and other departments to support overall property performance.
  • Assist with leasing reports, traffic logs, occupancy information, prospect tracking, and other leasing metrics.
  • Maintain organized leasing office files, records, and documentation.
  • Assist with open houses, leasing events, property marketing events, and other company initiatives.
  • Provide administrative support to the Leasing Manager and leasing department.
  • Assist with special projects and other duties as assigned.
Compliance & Professional Standards
  • Follow all company policies and procedures related to leasing, tenant screening, and resident relations.
  • Maintain compliance with applicable federal, state, and local Fair Housing, Equal Housing Opportunity, and landlord‑tenant requirements.
  • Apply company screening criteria and leasing policies consistently to all applicants.
  • Protect confidential applicant, resident, and company information.
  • Maintain accurate, complete, and organized leasing records.
  • Participate in required company training, including fair housing, tenant screening, leasing practices, and compliance training.
Qualifications

  • Property Management or Real Estate License preferred, but not required at time of start

Reporting Structure

The Leasing Agent will report directly to the Leasing Manager, who is responsible for overall leasing strategy, department performance, training, oversight, and accountability.

The Leasing Agent will be expected to independently manage assigned leasing activities while communicating regularly with the Leasing Manager regarding prospects, applications, vacancies, leasing challenges, market conditions, and opportunities.

The Leasing Agent is responsible for executing the day‑to‑day leasing process and achieving assigned leasing objectives, while the Leasing Manager maintains overall responsibility for leasing strategy, performance, and department management.

Schedule & About the Role

Monday–Friday, 8:00 AM–5:00 PM, with occasional evening or weekend showings and leasing events. The position is based at our Alexandria office with regular travel throughout the Alexandria Lakes Area.
