Job description

SUMMARY

The Lead Trauma/Burn Registrar is an integral member of the Trauma Registry. As the only ACS verified Level I Trauma Center and ABA verified Burn Center in the state, we provide essential care to over 4,000 patients with traumatic/burn injuries every year. Under the direction of the Trauma Program Manager, the Lead Trauma/Burn Registrar is responsible for ensuring the accuracy, integrity, completeness, and timeliness of trauma and burn registry data. This role supports the Trauma and Burn Services' performance improvement activities and ongoing compliance with ACS, ABA, NTDB, TQIP, Joint Commission, and other regulatory requirements.

The Lead Trauma/Burn Registrar provides leadership in registry operations, including data quality assurance, education of registry staff, database management, external data submission, reporting, and participation in accreditation preparation and quality improvement initiatives.

RESPONSIBILITIES
Registry Data Quality and Oversight
  • Ensures accurate and timely data entry into the trauma database through scheduled data scrubbing reports distributed to trauma registrars.
  • Identifies, analyzes, and remediates data entry issues to ensure the highest level of data quality and integrity.
  • Coordinates data scrubbing activities to support submissions to NTDB, TQIP, ABA, and internal research and quality improvement projects.
  • Maintains and updates the data dictionary.
  • Informs the Trauma Program Manager of concerns related to inaccurate data collection, incomplete documentation, or unreliable data sources.
Data Submission and Reporting
  • Coordinates and submits required data to TQIP, NTDB, and the American Burn Association in accordance with organizational requirements and submission timelines.
  • Produces monthly and quarterly Trauma Committee reports as determined by the Trauma Program Manager.
  • Writes, manages, and fulfills data requests from the trauma registry in compliance with departmental and institutional policy.
Database and Technical Leadership
  • Serves as the primary database resource for Trauma Registry staff, providing troubleshooting, guidance, and resolution of database-related issues.
  • Acts as the liaison with the trauma database vendor and implements data field updates or system changes as needed to meet Trauma Service requirements.
  • Collaborates with the Trauma Medical Director and Trauma Program Manager to ensure database functionality aligns with clinical, quality, and reporting needs.
Education and Staff Support
  • Serves as the educational coordinator for trauma registrars, providing training and updates related to:
    • NTDB and ABA data definition changes
    • Research and quality improvement initiatives
    • Documentation requirements and best practices
  • Supports efficient abstraction by identifying documentation gaps and collaborating with the Trauma Program Manager to improve clinical documentation quality.
Program Support and Accreditation
  • Assists the Trauma Program Manager in coordinating mandatory trauma registry meetings.
  • Actively participates in ongoing preparation for ACS site visits and other accreditation or verification reviews.
  • Collaborates professionally with members of the interdisciplinary healthcare team to support the goals of the Division of Trauma.
  • Professional Development and Compliance
    • Participates in ongoing professional development, education, and presentations to maintain and advance expertise in trauma care, registry standards, and data information systems.
    • Complies with all institutional and departmental policies, procedures, and objectives.
MINIMUM QUALIFICATIONS
EDUCATION/CERTIFICATIONS
  • High School graduate or equivalent required. Associate's or bachelor's degree in Medical Record Management or related health science field preferred.
  • Completion of an approved Trauma Registrar course.
  • AIS (Abbreviated Injury Scale) / Injury Severity Index certification.
  • CAISS or CSTR certification (or completion within one year of hire).
EXPERIENCE, KNOWLEDGE, SKILLS
  • Minimum of five (5) years of healthcare experience.
  • Strong background in medical terminology.
  • Solid knowledge of ICD 10 CM and AIS coding systems.
  • Knowledge of database management systems and Microsoft Office Suite.
  • Demonstrated ability to work independently with a high degree of initiative, judgment, and discretion.
  • Strong organizational skills with high attention to detail.
  • Ability to represent the organization professionally and promote a positive institutional image.
