This role supervises a team of up to five reception staff, ensuring efficient front desk coverage, strong client relations, and consistent communication across the organization. The position reports to the Client Relations Manager or Client Relations Director and is classified as Non-Exempt.ROLES & RESPONSIBILITIES:Supervise, train, and mentor reception staff to ensure consistent service quality and team performanceDevelop and manage reception schedules to ensure appropriate front desk coverageOversee daily front desk operations, including greeting visitors and managing incoming callsEnsure all guests and clients receive a professional, welcoming, and efficient experienceServe as the primary point of contact for client and visitor inquiries and service requestsCoordinate internal and external communication, ensuring accurate and timely message deliveryManage appointment scheduling, visitor logs, and front desk traffic flowProvide administrative support including mail distribution, filing, and office supply managementSupport coordination of meetings, conferences, and events, including room and resource setupMonitor building access and enforce security and visitor management protocolsRespond to and escalate security or emergency situations as neededConduct performance evaluations and provide ongoing coaching and feedback to team membersSupport continuous improvement of front desk processes and service delivery standardsKNOWLEDGE, SKILLS & ATTRIBUTES:Strong leadership and team management abilitiesExcellent customer service and client-facing communication skillsProfessional front desk and receptionist experienceStrong organizational and multitasking skills in a fast-paced environmentHigh attention to detail and accuracy in administrative tasksStrong verbal and written communication skillsProficiency in Microsoft Office Suite (Word, Excel, Outlook)Ability to manage competing priorities and maintain composure under pressureStrong interpersonal skills with a collaborative, team-oriented mindsetAbility to handle confidential information with discretionBasic understanding of security protocols and visitor management proceduresAdaptability and flexibility in dynamic workplace environmentsQUALIFICATIONS:Education:High School Diploma required; college degree highly preferredExperience:3–6+ years of experience in receptionist, front desk, concierge, or administrative support roles, including prior experience in a lead or supervisory capacity preferred.Technical Skills:Microsoft Office Suite (Word, Excel, Outlook)Visitor management systems (preferred)Scheduling and calendar management toolsBasic office communication and tracking systemsThe Compensation range for this role is $34.00 to $36.00 USD per hour.
