Job summary

TRC, Member of WSP, is seeking an experienced Lead Right of Way Document Specialist in Addison, TX to provide technical leadership for document management, land database administration, and document quality across multiple right of way projects.

The role partners with Land Managers, Project Managers, Land Agents, and clients to develop efficient processes, mentor the team, and ensure accurate, high-quality land documentation supporting successful project delivery.

Qualifications

  • 7+ years of Right of Way document management experience.
  • Experience leading document teams.
  • Strong title, abstracting, and conveyance document experience.
  • Experience with land database platforms such as CLSLiNK®, GeoAMPS®, Pandell, Quorum, or similar systems.
  • Advanced proficiency in Microsoft Excel, Word, document management systems, and reporting tools.

Overview

TRC is seeking an experienced Lead Right of Way Document Specialist to provide technical leadership and oversight for document management, land database administration, and document quality across multiple right of way projects. This role serves as the lead resource for Document Specialists, ensuring consistency in project execution, adherence to established procedures, and delivery of accurate, high-quality land documentation.

The Lead Document Specialist partners closely with Land Managers, Project Managers, Land Agents, and clients to develop efficient administrative processes, mentor team members, resolve complex document issues, and support successful project delivery.

Responsibilities
Leadership Responsibilities
  • Provides day-to-day leadership, direction, and technical guidance to Document Specialists assigned across multiple projects.
  • Assigns and prioritizes work to balance workloads and meet project schedules.
  • Serves as the primary subject matter expert for right of way documentation, database management, and document quality.
  • Reviews work products for accuracy, completeness, and compliance before client delivery.
  • Coaches and mentors Document Specialists to promote consistency, quality, and professional development.
  • Assists with onboarding and training of new employees and provides ongoing instruction on project procedures, software, and best practices.
  • Identifies process improvements and develops standardized workflows to improve efficiency across projects.
  • Collaborates with Land Managers to establish project-specific document procedures and administrative requirements.
  • Escalates project risks, staffing concerns, and quality issues to Land Management with recommended solutions.
  • Participates in resource planning by identifying staffing needs and supporting project assignments.
  • Promotes a collaborative, customer-focused culture while fostering accountability and continuous improvement
Project Administration
  • May supports multiple right of way projects simultaneously while providing document leadership across project teams.
  • Oversees all land administration activities in accordance with approved Project Procedures.
  • Maintains project databases and document management systems.
  • Ensures all land files are maintained in accordance with established procedures.
  • Coordinates document workflows to support project schedules.
Database & Reporting
  • Ensures all right of way information is accurately entered into project databases.
  • Oversees data quality through routine audits and validation.
  • Produces reports, exports, dashboards, and status updates as requested.
  • Assists Land Managers with acquisition cost forecasting and reporting.
  • Maintains user access and permissions for land database systems.
Document Management
  • Oversees preparation of acquisition packages.
  • Reviews executed legal documents for accuracy and completeness.
  • Reviews easement payments and damage calculations.
  • Coordinates recording of executed documents.
  • Maintains electronic and hard copy tract files.
  • Coordinates transfer of project files upon project completion.
Quality Assurance
  • Establishes and enforces document quality standards across assigned projects.
  • Performs quality reviews and audits of document packages, tract files, database records, and reports.
  • Identifies recurring quality issues and implements corrective actions.
  • Ensures compliance with client requirements, project procedures, regulatory requirements, and company standards.
  • Develops and maintains document templates, naming conventions, and standard operating procedures.
Qualifications
Professional Experience
  • 7+ years of Right of Way document management experience or equivalent combination of education and experience.
  • Demonstrated experience leading document teams or providing technical leadership.
  • Strong title, abstracting, and conveyance document experience.
  • Experience supporting large, complex, multi-state infrastructure projects preferred.
  • Experience with land database platforms such as CLSLiNK®, GeoAMPS®, Pandell, Quorum, or similar systems.
  • Advanced proficiency in Microsoft Excel, Word, document management systems, and reporting tools.

Compensation

In accordance with local law, the below salary range is applicable for the job and location associated with this requisition. Compensation will vary based upon experience, education, skill level, geographical location, and other compensable factors.

Employee may be eligible for participation in the Company’s annual Discretionary Bonus Program which is contingent on Company, Business Segment, and Individual performance against Key Performance Indicators which vary by year and employee.
