Primary Function: The Lead Dispatcher & Operations Coordinator leads the daily activities of an Area Ready-Mix Dispatch Center and serves as the operational coordination point for the market area. Dispatch leadership remains the foundation of the position; however, the role also coordinates the day-to-day activities that connect Dispatch, Production, Sales, Quality Control, Maintenance, Transportation, and Customer Service. The position is intended to keep the Ready-Mix business synchronized, improve execution, support customer commitments, and reduce administrative burden on Production Managers so they can focus on people, production, quality, safety, and plant performance.

Essential Functions

Dispatch Leadership & Daily Execution

• Lead the day-to-day operations of the Ready-Mix Dispatch Center and establish daily priorities for the dispatch team.
• Develop and communicate next-day driver start times and work schedules based on customer demand, production requirements, fleet availability, and operational needs.
• Provide direction, coaching, training, and cross-training to dispatch personnel while promoting teamwork, accountability, safety, and professional customer service.
• Receive and process customer orders received by phone, email, or other approved communication channels.
• Confirm order details, including quantity, mix design, pricing, delivery location, access requirements, and requested delivery time.
• Assign trucks to customer orders based on delivery requirements, product type, plant capacity, driver availability, and customer priority.
• Move trucks between plants as needed to balance workloads, maintain service levels, and maximize market-area fleet utilization.
• Maintain continuous communication with drivers and provide instructions, schedule updates, route information, customer requirements, and operational support.
• Monitor truck locations, delivery progress, and changing operating conditions to identify and resolve potential delays or service issues.
• Make timely operational decisions in response to traffic, weather, mechanical problems, plant constraints, customer changes, and other unplanned events.

Operations Coordination

• Coordinate daily communication among Dispatch, Production, Sales, Quality Control, Maintenance, Transportation, and Customer Service to support safe and efficient execution.
• Coordinate large concrete placements, planned plant outages, maintenance events, weather preparations, and other operational activities requiring cross-functional planning and communication.
• Work with Ready-Mix Plant Operators and Maintenance personnel to schedule plant maintenance, repairs, and planned shutdowns while minimizing disruption to production and customer deliveries.
• Coordinate with the Maintenance Department to prioritize mixer-truck repairs, preventative maintenance, inspections, and equipment availability while minimizing fleet downtime.
• Support customer communication during significant service disruptions and coordinate recovery plans across the affected departments.
• Help maintain operational continuity when production schedules, plant availability, fleet availability, or customer priorities change during the day.
• Support Production Managers by coordinating day-to-day operational details and follow-up activities that affect multiple functions.

Staffing & Administrative Coordination

• Assist with staffing coordination, vacation coverage, dispatcher coverage, and time and attendance administration.
• Help coordinate onboarding, training, and cross-training for dispatch and other assigned Customer Service and Transportation functions.
• Assist with Motive AI event administration and follow-up to help ensure required coaching, documentation, and closure are completed.
• Maintain accurate operational records, dispatch documentation, schedules, reports, and follow-up items.
• Cross-train in other functions within the Customer Service and Transportation team and provide backup coverage as required.

Performance Monitoring & Continuous Improvement

• Monitor fleet utilization, truck productivity, delivery cycle times, idle time, on-time performance, and other operating metrics.
• Track service failures, lost loads, rejected or returned loads, customer concerns, and recurring operational issues.
• Assist management in identifying root causes, coordinating corrective actions, and following up on recurring service or operating problems.
• Maintain operational KPI reporting and communicate performance trends, risks, and opportunities to management.
• Identify and recommend improvements to dispatch processes, staffing coordination, fleet utilization, communication, and customer service.
• Generate reports on delivery performance, order fulfillment, service reliability, and other measures needed to support management decisions.

Systems, Customer Setup & Data Accuracy

• Work with Sales and Quality Control to ensure customer projects, pricing, mix designs, and related information are properly established in company systems.
• Help maintain dispatch system accuracy, customer setup, delivery instructions, and other operational master data.
• Verify order accuracy and pricing in accordance with company policies and established pricing structures.
• Support accurate and timely invoicing by ensuring dispatch and delivery information is complete and properly recorded.
• Use dispatch, tracking, reporting, and Microsoft Office tools to monitor operations and support data-driven decision-making.

Safety, Compliance & Transportation Coordination

• Ensure dispatch activities comply with company safety policies, DOT requirements, transportation regulations, driver-hours limitations, and applicable roadway restrictions.
• Promote safe operating practices through effective communication with drivers, Plant Operators, Maintenance, and Operations personnel.
• Coordinate company haul trucks transporting cement, stone, slag, and other materials supporting Ready-Mix production.
• Maintain awareness of equipment status, road restrictions, weather conditions, and other factors affecting safe and reliable transportation
• Perform other duties as assigned. Other duties may include support for oil customer service and delivery operations, including scheduling and dispatching deliveries, coordinating with drivers and customers, monitoring delivery needs, and resolving operational exceptions.

Qualifications

• Experience in transportation, dispatching, logistics, customer service, or Ready-Mix operations.
• Previous lead, supervisory, or operational-coordination experience.
• Knowledge of Ready-Mix concrete products, production processes, mix designs, and delivery operations.
• Understanding of DOT regulations, Hours of Service requirements, and state and federal roadway restrictions.
• Knowledge of the assigned geographic service area, delivery routes, and truck applications.
• Experience with Microsoft Office, Apex, Five Cubits, Command Track, Motive, GPS tracking, or comparable systems.
• Ability to analyze operating data and identify trends or improvement opportunities.
• High School diploma or GED
• Strong communication, organization, and interpersonal skills.
• Demonstrated ability to make sound decisions and solve problems using factual information.
• Ability to manage multiple priorities in a fast-paced and periodically stressful environment.
• Strong attention to detail and commitment to accurate work.
