Job summary

The United States Olympic & Paralympic Committee (USOPC) is seeking a Part-Time Games Hospitality Lead Concierge Coordinator to deliver a world-class VIP donor program during the Games. This role coordinates concierge workflows, guides staff and volunteers, and partners with internal teams to ensure seamless guest experiences.

You’ll work fully remote 5 hours per week, with a $75.00 per hour pay, and you’ll help maintain service standards, manage guest itineraries, and escalate issues to

Qualifications

  • 4+ years of experience in hospitality, guest services, donor relations, event coordination, or large-scale event operations.
  • Experience supporting VIPs, donors, dignitaries, or high-profile individuals with professionalism, discretion, and attention to detail across multi-day events, sporting events, conferences, festivals, or similar guest-facing programs.
  • Experience assisting with logistics, staffing support, and real-time operations across multiple venues or program areas.
  • Experience supporting guest registrations, payments, invoicing, and data accuracy across multiple platforms.
  • Ability to provide personalized, culturally aware, VIP-level service to donors, dignitaries, and high-profile guests.
  • Ability to support concierge colleagues, volunteers, vendors, and cross-functional partners to ensure consistent service delivery.
  • Skilled at identifying guest or operational issues, responding calmly, and escalating matters appropriately to maintain a premium guest experience.
  • Ability to maintain accurate, up-to-date itineraries, guest preferences, and service records using centralized tracking tools (e.g., Monday.com or similar platforms).
  • Ability to track program materials and coordinate purchasing and replenishment needs.
  • Strong written and verbal communication skills for engaging donors, families, and VIP guests, and for producing clear updates and reports for leadership.
  • Ability to work effectively and communicate accurately across internal teams, including operations, transportation, protocol, ticketing, and hospitality leadership.
  • Ability to follow, document, and support operational processes, guidelines, and service standards.

Responsibilities

  • Lead day-to-day coordination of the Games Hospitality concierge program, helping deliver personalized, high-touch service to VIP donor guests, families, dignitaries, and other high-profile stakeholders throughout the Games.
  • Provide task direction, workflow coordination, and service guidance to concierge team members, volunteers, vendors, and temporary support staff to ensure consistent execution of program standards.
  • Support the implementation and refinement of concierge service standards, operating procedures, guest communication protocols, shift handoffs, and escalation processes.
  • Coordinate real-time concierge operations during the Games, including guest check-ins, itinerary updates, service requests, issue intake, transportation coordination, event access support, and guest experience troubleshooting.
  • Monitor service-request tracking tools, guest profiles, preferences, itineraries, and daily operating updates to ensure accurate, timely, and individualized support for each guest.
  • Partner with Development, hospitality operations, transportation, protocol, ticketing, venue operations, security, and other internal and external partners to coordinate seamless guest journeys.
  • Serve as a lead concierge point of contact for guest needs, modeling professionalism, discretion, cultural awareness, and a solutions-oriented approach.
  • Identify guest needs, service gaps, operational risks, and opportunities to enhance the donor hospitality experience; resolve routine issues and elevate complex matters to leadership as appropriate.
  • Coordinate concierge program materials, supplies, communication resources, and operational assets, including inventory tracking, purchasing coordination, distribution, and replenishment.
  • Prepare operational updates, guest service summaries, team handoff notes, tracking reports, and post-event observations for leadership and key stakeholders.
  • Support registration, payment, invoicing, data accuracy, and CRM or tracking-system processes related to donor guest participation and hospitality services.
  • Maintain confidentiality and sound judgment when handling sensitive donor, guest, personnel, and organizational information.
  • Perform other duties as assigned.

Here's a Summary Of Responsibilities

The United States Olympic & Paralympic Committee (USOPC) is a nonprofit organization and is one of the only National Olympic/Paralympic Committees in the world that does not receive government funding for its Olympic and Paralympic programs, instead relying on the generous support of a committed community of donors and sponsors. Increasing philanthropic support for U.S. athletes is one of the USOPC's highest strategic priorities and hence, the organization has established the U.S. Olympic & Paralympic Foundation (USOPF) as the fundraising organization for the USOPC and is investing significant resources in its Development division.

The Games Hospitality Lead Concierge Coordinator supports and helps lead the delivery of a world-class concierge program for VIP donor guests throughout the Games. This role coordinates day-to-day concierge workflows, provides task direction and service guidance to concierge staff, volunteers, and vendors, supports guest communications and itinerary management, monitors service-request tracking and escalation, and partners across functions to ensure seamless, personalized, and high-touch hospitality delivery. Positioned as a lead-level role below the director level, this position exercises sound judgment, operational ownership, and supervisory coordination while escalating strategic decisions, staffing needs, and complex issues to department leadership.

  • Hiring pay range $75.00 - $75.00 per hour.
  • This Part-Time, Non-Exempt position is intended to work 5 hours per week.
  • Bonus: This position will be eligible for the Annual Incentive Award Program, which has a 5% target. The USOPC may change or eliminate this program at any time at its sole discretion.
