Summary:

The Lead Concierge is the front desk receptionist for the community and takes on a range of responsibilities, including welcoming and assisting residents and visitors, handling resident/family/guest inquiries and requests, assisting with organizing events and activities, and handling a variety of clerical duties.

What You Will Do:

  1. Manage the front desk sign-in and out process for visitors and vendors. Handle and direct incoming phone calls. Inform residents or staff of the arrival of guests, packages, and flowers.
  2. Accommodate resident requests for assistance - referring to other staff as necessary.
  3. Provide marketing information to visitors.
  4. Assist Lifestyles Department with program/event reservations; collect program/event fees; maintain accurate records.
  5. Maintain and regularly update the database of resident general information and update/distribute the resident phone list. Handle other clerical duties as assigned.
  6. Support other departments as needed to ensure high quality resident service.
  7. Demonstrate positive resident relations and community’s quality care and service standards to residents, families, and guests. Maintain a positive, cheerful attitude at all times.
  8. Perform other duties as assigned. Attend in-service classes and staff meetings.
  9. Make monthly schedules for all concierge staff with BOD oversight and final approval.
  10. Assist with move-in files (with file checklist).
  11. Update the Communication Binder for each desk for all concierge staff and ensure that the pass-along shift diary and initialing of memos is being completed.
  12. Use postage machine to add postage & mail out all outgoing Community business mail (not resident).
  13. Order office supplies (with approval).
  14. Make daily menus for dining to keep at front desks.
  15. Check Face sheet binders for both buildings & ensure they are updated (with all new residents & for the month).
  16. Update Employee Directory.
  17. Update Resident Directory.
  18. Ensure concierges are relieving each other for breaks & desks are covered - Should be BOM.
  19. Assist the BOM in finding coverage between concierge staff for any call outs.
  20. Be sure receptionist desks are stocked with forms and office supplies.
  21. Review resident LOA for accuracy and communicate with team.
  22. Assist with getting the photos of new residents for PCC when needed.
  23. Ensure all concierges are distributing residents’ packages & delivering bulk packages to appropriate buildings as well as any flyers by management.
  24. Assist BOM with New Hire orientation set up, checking orientation room etc.
  25. Communicate updates to the concierge team.
  26. Input work orders into TELS as they arise.
  27. Ensure morning check-ins in independent living are done daily (see policy and procedure).
