This position is considered to be Fully Onsite, work is to be done onsite at a PetSmart location (Phoenix Home Office, PetSmart stores, Merchandise Development Center, Distribution Centers or another PetSmart site).

SUMMARY

The Mailroom Lead is responsible for overseeing the daily operations of the mailroom within the Business Center. This role ensures timely and accurate handling of all mail and package deliveries, leads a small team of associates, and supports a high standard of customer service. The Mailroom Lead works closely with the Manager Business Amenities to ensure operational excellence, maintain safety practices, and implement process improvements.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

  • Serves as the primary day-to-day lead for Mailroom associates, setting priorities, answering questions, and ensuring tasks are completed accurately and on time.
  • Supports the Manager Business Amenities in coordinating mailroom schedules and daily work assignments.
  • Provides on-the-job training and guidance to team members to ensure proper handling of mailroom equipment and processes.
  • Maintains a customer-first approach in all mailroom activities, ensuring prompt, friendly, and professional service.
  • Coordinates the pickup and delivery of all interoffice, U.S. Postal, and express/overnight mail for the Phoenix Home Office.
  • Partners with internal business customers to recommend cost-effective shipping options.
  • Operates and maintains mail equipment such as postal metering machines, FedEx systems, handheld package scanners, etc.
  • Ensures accurate tracking, confidentiality, and handling of all incoming and outgoing mail.
  • Assists in ordering supplies, maintaining inventory, and ensuring the mailroom is organized and stocked.
  • Supports the operation of the third-party dry-cleaning service, serving as the primary contact for associates.
  • Works with the Manager of Business Amenities on vendor coordination and contract support.
  • Assists in tracking department expenses, chargebacks, and maintaining documentation for audit purposes.
  • Drives continuous improvement by identifying cost savings or efficiency opportunities.
  • Provides support to Print Services during peak times or absences, as needed.
  • Maintains a safe and clean work environment and models company safety practices.
  • Performs other duties as assigned.
  • Partners closely with Print Center Supervisor to align and schedule workflow from Print to Mail.

LEADERSHIP RESPONSIBILITIES

  • This role is a working lead position and does not have formal supervisory duties such as performance evaluations or hiring. However, the Mailroom Lead is expected to provide direction, coaching, and support to fellow associates and coordinate daily operations under the guidance of the Manager of Business Amenities.

QUALIFICATIONS

  • High school diploma or equivalent required; Associate’s degree preferred.
  • One to three years of experience in a mailroom or customer service environment, with demonstrated leadership responsibilities.
  • Strong communication and interpersonal skills.
  • Excellent organizational and time management abilities.
  • Familiarity with USPS, FedEx, and other shipping platforms preferred.
  • Ability to lift and move mail or packages as needed (up to 50 lbs).
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook).

LANGUAGE & MATHEMATICAL SKILLS

  • Ability to communicate clearly in person, over the phone, and in writing.
  • Able to interpret and apply shipping guidelines, departmental procedures, and customer service policies.
  • Basic math skills, including the ability to calculate weights, postage, and billing allocations.
  • Sound judgment and decision-making in routine operational issues.
