Job summary

Marion County Sheriff's Office is seeking a transcriptionist to convert police reports via live dictation, email, and hard copy into the RMS system. The role includes entering NIBRS data, validating accuracy, and maintaining confidentiality.

The candidate must demonstrate fast, accurate data entry and strong grammar and spelling skills. The job requires learning NIBRS and RMS processes, handling sensitive information, and supporting deputies and detectives.

Qualifications

• Transcribe a minimum of 45 words per minute accurately.
• Proficiency in English grammar, spelling and punctuation.
• Ability to follow instructions with minimal supervision.
• Possess normal sight and hearing abilities.
• Ability to organize own work.
• Ability to perform general office skills.
• Ability to handle confidential matters without compromising confidentiality.
• Ability to work harmoniously with all office personnel.

Responsibilities

• Abide by the “Law Enforcement Code of Ethics.”
• Learn the RMS Program to enter reports accurately.
• Enter incident reports received via telephone and email into the RMS program.
• Proof incident reports for accuracy, including spelling and coding.
• Take dictation over the phone and gather data to generate accurate incident reports.
• Create incident reports from preexisting charging documents.
• Use a standard phone system and transfer calls as needed.
• Learn all NIBRS requirements and guidelines for proper coding.
• Complete NIBRS review for approved reports.
• Complete Teletype forms for FCIC/NCIC entries, removals, and purges.
• Familiarize with Silver Alert, Amber Alert, Purple Alert, and safety alerts.
• Learn Vigilant LPR Program to enter tags for deputies/detectives.
• Learn Florida Statutes and Marsy’s Law requirements.
• Be proficient in the CAD system.
• Maintain a clean working environment.
• Assist deputies, detectives, and others with STAR functions.
• Perform other duties including temp reassignment during emergencies.
