Reporting to the Divinity Library Director and under minimal direction, exercises independent judgment within a broad framework of stated goals and procedures to support the Divinity Library’s Latourette-funded collection building and related collection services, and to foster an environment of teamwork and collaboration in a fast-paced, service-oriented setting.
Provides a broad range of skills to support acquisitions and basic cataloging/bibliographic access for materials funded by the Latourette Endowment and other funds in a wide variety of languages. Searches and verifies bibliographic data with incomplete information or source material in catalogs, reference sources, files, and databases; documents decisions and sources used. Tracks selected funds with spreadsheets and other tools; monitors expenditures and reconciles records as needed; generates and reviews statistical and acquisitions reports to identify problems, trends, and opportunities; elevates discrepancies to the Divinity Library Director. Communicates with vendors and internal partners to resolve ordering and receiving issues and maintains clear documentation of unit procedures. May be required to assist with disaster recovery operations and perform other related duties as assigned.
Serves as a primary source of information on established procedures and policies related to Latourette-funded acquisitions and processing for library staff. Oversees the work of student employees as assigned in support of collection workflows. Ensures that continuing resources are received and placed on the shelves for patron use. Consults librarians/authorized requestors as needed to determine scope and requirements of a purchase request; identifies and resolves problems. Acquires library material that has been recommended by librarians/authorized requestors using established procedures; prepares and maintains order documentation; follows up on claims, backorders, cancellations, and replacements with vendors. Creates, or reviews and modifies documentation of unit procedures; composes original correspondence, reports, and procedures (including vendor communications and internal status updates).
Receives and inspects newly acquired materials; coordinates routing for processing; maintains accurate status tracking and documentation. Routes materials requiring complex or original cataloging to Library Technical Services; provides basic cataloging/bibliographic access support as part of receiving/processing, including searching for copy and updating/creating minimal records as appropriate. Performs additional functions incidental to library activities (e.g., materials management such as unpacking, charging/routing, sorting/distribution) and other duties as needed.
Four years of related work experience, two of them in the same job family at the next lower level, and a high school level education; or two years of related work experience and an Associate's degree; or an equivalent combination of experience and education.
