Job summary

US Tech Solutions is seeking a Lab Operations Coordinator for an on-site role in Spring, TX. You will validate readiness before vendor visits, escort vendors, and keep critical lab documentation organized.

You will monitor daily progress, coordinate equipment readiness, and use SmartSheet, Excel, and MS Office to track tasks. A high school diploma and 1–2 years' experience are expected; conversion to permanent is possible.

Qualifications

• Familiar with a wide range of lab equipment and lab environments; hands-on equipment not required.
• Proven ability to work efficiently and responsively in a fast-paced setting.
• Comfortable in lab environments and adhering to Health, Safety & Environment guidelines.
• Ability to work independently without detailed instruction.
• Effective written communication and conference call skills.

Responsibilities

• Collaborate with on-site teams to maintain asset information.
• Manage on-site vendor visits.
• Assist in collection and organization of vendor documentation after field visits.
• Monitor daily progress, identify delays, and proactively plan upcoming activities.
• Support vendor coordination by validating equipment or space readiness and supplies availability.
• Manage expectations and provide consistent updates.
• Use project tools (SmartSheet, Excel, MS Office) to track tasks and dependencies.
• Contribute to post-vendor visit reviews and lessons learned.
• Maintain a safety-first mindset; ensure PPE and safety guidelines are followed.

Duration

12 Months with possible conversion into permanent.

Hours: Monday-Friday, 8:00 AM-5:00 PM (flexible hours)

Overview of Work Environment / Client Nuances

• New lab build out, coordinating with vendors to install lab assets that are shipping from various client locations.

Team Overview

• Report to HM - will work with on-site lead Jack. Full team under me totals 6 people over all the sites.
• Project governed by another division of company we were hired to manage this project by client.

Resource's typical working day

• Validating readiness before vendors visit.
• Registering and escorting vendors from security to labs, providing critical instructions before the work can start.
• Administrative tasks like updating team documents, keeping project documents organized, sending emails etc.

Key Responsibilities

• Support vendor coordination by validating the equipment or space is ready and supplies are available for activities.

• Ability to utilize project tools (e.g. SmartSheet, Excel and Microsoft Office) to track tasks and dependencies.
• Help drive continuous improvement by working with the team to conduct post-vendor visit reviews and implement lessons learned.
• Maintain a safety-first mentality. Validating proper PPE and safety guidelines are consistently and constantly being met.

Must Have Skills

• Familiarity with a wide range of lab equipment and general laboratory environment is desirable. Hands-on equipment experience is not required.
• Proven ability to work efficiently and responsively in a fast-paced environment.
• Comfortable working in laboratory environments and adhering to Health, Safety & Environment guidelines.
• Ability to work independently without detailed instruction.
• Communicates effectively in writing or on conference calls.

Nice to have skills

• Has worked with cross functional teams and external vendors in a collaborative environment.
• Bachelor’s degree preferred.
