Job summary

Dartmouth College's HumanX Lab seeks a Laboratory Administrative Coordinator to manage day-to-day operations, track equipment, coordinate with vendors, and streamline purchase requests through Dartmouth finance and procurement.

The role is onsite in Hanover, NH (with optional Boston site presence), full-time, 40 hours/week, for a 12-month grant-funded term. Responsibilities cover lab coordination, scheduling, communications, and reporting to support research projects.

Qualifications

  • Bachelor’s degree or equivalent professional experience.
  • Two or more years of administrative, operations or coordination experience in a research, academic, healthcare or comparable professional environment.
  • Excellent attention to detail and follow‑through; ability to track many open items in parallel.
  • Strong written and verbal communication skills with internal staff, faculty, vendors and external partners.
  • Proficiency with standard office and productivity tools (calendars, spreadsheets, document management).
  • Onsite presence in Hanover, NH or the Cluster’s Boston site (no remote work).

Responsibilities

  • Lab equipment and vendor coordination: track inventory, location, condition and service status.
  • Coordinate with external vendors for quotes, delivery scheduling, receipt, installation and ongoing service.
  • Coordinate with Dartmouth finance and procurement teams to move purchase requests and vendor payments through channels.
  • Serve as the lab’s coordination point with internal Dartmouth offices (Finance, Procurement, Sponsored Projects, Facilities, HR, IT).
  • Route paperwork and follow up on lab‑related requests within Dartmouth’s internal systems for the Cluster Head and lab members.
  • Coordinate onboarding and off‑boarding logistics for new lab members, including space, equipment, accounts, building access and orientation hand‑offs.
  • Coordinate lab calendars, room and resource scheduling, and visitor logistics.
  • Book logistics for internal lab meetings, sponsor and collaborator meetings, site visits and travel for the Cluster Head and lab members.
  • Support event coordination for workshops, seminars and external visits hosted by the Cluster.
  • Support project‑management tasks as requested by the Cluster Head and the Senior Lab Manager.
  • Maintain organized lab records, meeting minutes and decision logs.
  • Coordinate routine internal lab communications, distribution lists and announcements.
  • Assist in preparing periodic operational updates for the Cluster Head and the Senior Lab Manager.

Position Summary

The Laboratory Administrative Coordinator supports day‑to‑day operations of the HumanX Lab and the Cluster’s research portfolio. Serve as the lab’s internal coordination hub—tracking lab equipment, coordinating with external vendors for delivery and installation, ensuring purchase requests move through Dartmouth finance and procurement, supporting lab logistics, and routing internal communications.

Location: Hanover, NH (onsite) with the option of presence at the Cluster’s Boston site. Full‑time, Monday–Friday, standard business hours, 40 hours per week.

Term Length: 12 months. The position is grant‑funded and may be renewed based on available funding.

Responsibilities
  • Lab equipment and vendor coordination

  • Experience supporting principal investigators or lab leadership in a fast‑paced, multi‑project setting.
  • Interest in sensor technology, wearables, neuroscience or biomedical research.
Employment Details

The position is a 12‑month term, funded by a grant. Continuation is contingent upon available funding.

Work scheduling: Full‑time, Monday–Friday, standard business hours (8 AM–5 PM) onsite.

Location: Hanover, NH; optional presence at the Cluster’s Boston site. Remote work is not available.
