Job summary

The Freeman Company, based in Las Vegas, NV, seeks a Scheduling Manager to coordinate staffing for events, manage labor budgets, and ensure efficient use of show-site labor. The role requires handling local, union, and vendor labor with knowledge of payroll and labor laws.

Hybrid schedule with in-office and show-site work 2-3 days per week. Ideal candidates will have a bachelor’s degree or equivalent, 3+ years in event production, supervisory experience, and strong Excel/Sheets skills.

Qualifications

  • Bachelor’s degree or equivalent work experience.
  • Working knowledge of labor laws (FMLA, ACA, ADA, FLSA).
  • Minimum 3 years of event production and operations experience.
  • Labor or staffing coordination experience preferred.
  • Thorough payroll system knowledge and methods of payments to employees and contractors.
  • Minimum two years supervisory experience.
  • Experience with unions and interpreting labor contract language.
  • Working knowledge of AV (Audio, Video, Lighting, Rigging, Scenic).
  • Proficient in Microsoft Office; Excel and Google Sheets.

Responsibilities

  • Staff all event positions including local, union, or vendor labor.
  • Manage show site casual labor and union labor activities.
  • Serve as labor SME for cities or regions.
  • Advise on labor policies and best practices.
  • Monitor labor costs and budgeting as requested.
  • Coordinate with Sales and Operations on labor needs.
  • Ensure city profiles reflect current labor rates and jurisdictions.
  • Recruit and qualify AV technicians.

Summary

The Scheduling Manager is responsible for the staffing and scheduling of necessary and appropriate staff to events while managing labor coordination process to ensure appropriate labor requirements and arrangements are made for all assigned events and established protocols are communicated and followed. This fast-paced and challenging role requires successfully managing competing priorities and timelines.

This position will support our Labor Scheduling team. It is eligible to work a hybrid schedule, generally requiring work in-office and/or show-site 2-3 days per week. This position is based out of Las Vegas, NV.

Essential Duties & Responsibilities
  • Responsible for staffing all positions for events including local labor, union labor, or vendor labor.
  • Manages show site casual labor and union labor activities.
  • Acts as labor subject matter expert for assigned cities or regions.
  • Advises and participates in the creation of labor policies for assigned cities or regions.
  • Recommends and participates in developing best-practices procedures and overseeing these are followed.
  • Ensures efficient utilization of show site labor in a cost-effective manner while adhering to union work rules and vendor agreements.
  • Ensures proper labor documentation requirements are communicated and maintained on show site.
  • Ensures qualified show personnel are assigned.
  • Assists with event labor budgeting as requested.
  • Communicates with Sales and Operations to clarify labor requirements and acts as liaison between Sales and Operations on labor specifications.
  • Ensures city profiles are current and correct with current vendor and union labor rates and jurisdictions.
  • Assists management in labor relations and contract administration.
  • Recruits and qualifies new AV technicians.
  • Reviews union and vendor contracts relevant to assigned cities or regions.
  • Performs other duties as assigned.
Education & Experience
  • Bachelor’s Degree (B.A. or B.S.) or equivalent work experience.
  • Working knowledge of relevant labor laws (FMLA, ACA, ADA, FLSA, etc.).
  • Minimum 3 years of event production and operations experience.
  • Labor or staffing coordination experience preferred.
  • Thorough understanding of payroll systems and methods of payments to employees and contractors.
  • Minimum two years supervisory experience.
  • Experience working with unions and interpreting labor contract language is required.
  • Working knowledge of Audio, Video, Lighting, Rigging and Scenic labor requirements.
  • Proficient in Microsoft Office Suite; expert in Microsoft Excel and Google Sheets.
