Job description

Job Summary

The Kids Coordinator runs the administrative and logistical engine of Gateway Kids at one campus. Where the Kids Pastor owns the ministry's plan, this seat makes the plan happen week to week - the check-in, the curriculum and supplies, the room scheduling, the screening, and the Serve Team that delivers it. This role does not carry pastoral duties or require a ministerial license, but it is often the first point of contact for parents.

Principal Job Responsibilities
  • Coordinates the week-to-week execution of Gateway Kids at the campus, within the plan the Pastor owns
  • Builds and stewards the Serve Team for the ministry: recruiting, scheduling, training, retention, and appreciation
  • Owns the ministry's scheduling and calendar, including services, events, trainings, and room and resource reservations
  • Handles the ministry's administrative processes: purchase requisitions, check requests, expense reports, invoices, and vendor payments within the approved threshold
  • Maintains the ministry's records and data in the church database, including attendance, registrations, and follow-up
  • Orders and maintains the supplies, resources, and materials the ministry needs
  • Serves as a point of contact between the campus ministry and the area teams that support it
  • Prepares spaces and materials for services and events, and is present before, during, and after services to resolve issues as they arise
  • Participates in the cross-campus meeting for the ministry and raises local realities into it
  • Tracks the measures for the ministry and reports what they show to the Pastor
  • Operates check-in and supports a friendly, secure Kids Guest Experience at every service
  • Coordinates curriculum, classroom supplies, and room setup across all kids environments
  • Coordinates background checks and screening for kids Serve Team members, and maintains screening records
  • Supports safety, security, and incident reporting per Gateway policy
  • Responds to parent and guardian questions and routes concerns to the Kids Pastor
  • Is present and serving at weekend services and churchwide events as the ministry calendar requires
  • Performs other duties as assigned. As a member of the Gateway Church team, this position is expected to support, recruit, and develop Serve Team members, and to serve alongside the broader team as ministry and organizational needs arise.
General Skills & Qualifications
  • A clear passion for Jesus and a strong biblical foundation
  • Strong organizational skills and the ability to hold many moving parts at once
  • Demonstrated ability to recruit, schedule, and retain Serve Team members
  • Proficient written and verbal communication skills
  • Detail-oriented, with strong follow-through on administrative processes
  • A can-do attitude and willingness to jump in wherever the ministry needs help
  • Able to assess priorities and manage time well under a weekend-driven rhythm
  • Demonstrated emotional and relational intelligence
  • Proficient in Microsoft Office and able to learn and function within new software and systems
Education/Certification(s)
  • High school diploma or equivalent, and two or more years of administrative, coordination, or ministry experience - required
  • Bachelor's degree - preferred
  • Prior experience in a multisite church environment - preferred
