Job description

Create Advertising Group is an award-winning entertainment marketing agency that specializes in fulfilling the creative needs of film, television, gaming and branding clients. Create prides itself on passion. We seek talented, driven people who will add a unique voice to our exceptional work. Located in Los Angeles, we provide a creative, fun, and informal working atmosphere.

JOB SUMMARY

The Account Coordinator supports the Account and Creative teams by coordinating incoming and outgoing key art projects — across print, digital, social, and AV/trailer support — in an organized, efficient, and positive manner. This role is often the first step in premium client service, helping lay the foundation for strong client relationships and enabling internal teams to produce industry-leading key art, while providing day-to-day support to the Producer and Account Executive.

ESSENTIAL DUTIES & RESPONSIBILITIES
  • Support multiple key art projects across print, digital, social, and AV/trailer materials from brief and ideation through production and final delivery, serving as a reliable right hand to the Producer and Account Executive.
  • Schedule and coordinate meetings, prepare agendas, and capture clear, actionable notes.
  • Ingest, organize, and track incoming assets across all media types, acting as a custodian of files so they are clearly labeled, easily accessible, and ready for use by internal teams.
  • Input project assets, details, and feedback notes into project management tools and communicate updates to ensure all team members are aligned.
  • Check in with relevant teams to monitor progress and help ensure deadlines are met.
  • Prepare and send deliverables to clients and track incoming assets, requests, or feedback across print, digital, social, and AV channels.
  • Perform basic quality control checks on outgoing deliverables to confirm accuracy, completeness, and adherence to specifications (print specs, digital ad specs, social crop/aspect guides, AV frame rates) before delivery.
  • Communicate with other departments regarding project status, needs, and timing, and escalating issues to the Producer or Account Executive when appropriate.
  • Coordinate physical and digital deliveries — shipments, gifts, and digital asset transfers/DAM uploads — as needed.
  • Gather, organize, and submit final assets and credits for weekly company-wide showcases and real-time external marketing (newsletter, website, and social media).
DESIRED QUALITIES & CHARACTERISTICS
  • Professionalism & integrity — Treats coworkers and clients with respect, communicates clearly and tactfully, takes responsibility and follows through on commitments.
  • Communication skills — Demonstrates strong verbal and written communication, including clear note-taking, concise emails, and effective information sharing with the team.
  • Organization & time management — Keeps tasks, notes, files, and timelines organized; manages time effectively to meet deadlines across multiple projects.
  • Client service mindset — Approaches client needs and requests with a helpful, solutions-oriented attitude, representing the team professionally in all interactions.
  • Teamwork & collaboration — Welcomes feedback, contributes to a positive team culture, and is willing to pitch in on tasks that help the project or team succeed.
  • Adaptability & willingness to learn — Stays flexible when priorities shift, is open to new tools and processes, and actively seeks opportunities to build new skills.
  • Quality & attention to detail — Reviews work carefully, double-checks details, and helps ensure information, assets, and deliverables are accurate and complete.
  • Reliability & accountability — Is dependable and punctual, communicates early if there are risks to timelines, and can be counted on to follow through on assigned tasks.
  • Interest in the work & industry — Brings genuine curiosity about key art and the entertainment industry, staying engaged with the work and eager to grow.
MINIMUM QUALIFICATIONS
  • 1–2 years of experience in an entertainment advertising agency, production company, or related creative environment (internships included).
  • Familiarity with common entertainment, creative, and key art terminology across print, digital, social, and AV.
  • Proficiency with standard office and collaboration tools (email, MS Office, G-Suite, shared drives, project trackers); experience with Adobe Creative Suite or project management tools is a plus.
  • Demonstrated interest in key art or entertainment marketing, with a desire to grow into increased client-facing and project management responsibilities over time.
