Job description

Key Responsibilities:
Project Coordination & Support
• Assist in the end-to-end management of commercial roofing projects, from pre-construction through closeout.
• Coordinate schedules, deliverables, subcontractors, and vendors to keep projects on track.
• Monitor daily and weekly progress to flag delays or risks and escalate as needed.
• Help ensure all work adheres to OSHA safety standards, building codes, and company protocols.


Client & Team Communication
• Maintain frequent, professional communication with clients to provide project updates and address inquiries.
• Act as a point of contact for subcontractors, field personnel, and internal departments.
• Record and distribute meeting minutes, key decisions, and action items from project meetings.


Documentation & Reporting
• Maintain organized records for each project, including contracts, change orders, submittals, RFIs, and inspections.
• Support the development of project status reports and presentations for stakeholders.
• Assist with the preparation of billing packages and project-related invoices.


Budgeting & Resource Management
• Track budget performance, help identify cost-saving opportunities, and flag potential overruns.
• Monitor resource usage and availability to ensure efficient project execution.


Work Order & CRM System Support

• Assist Program Managers in dispatching and tracking work orders to completion.
• Participate in learning and maintaining multiple CRM platforms to ensure accurate project tracking and exemplary customer service.
• Help verify job completion, coordinate final inspections, and prepare closeout documentation.


Qualifications:
• 1–3 years of experience in construction, project coordination, or administrative support (commercial roofing a plus).
• Exceptional organizational and multitasking skills with keen attention to detail.
• Strong written and verbal communication skills; comfortable interacting with customers and cross-functional teams.
• Proficiency with project management tools (e.g., Microsoft Project, Procore, BuilderTrend, or similar).
• Working knowledge of Microsoft Office Suite (Excel, Word, Outlook).
• Ability to adapt in a fast-paced environment and remain calm under pressure.
• Eagerness to learn and grow within the commercial construction industry.


Preferred Qualifications:
• Associate’s or Bachelor’s degree in Construction Management, Business Administration, or a related field.
• Familiarity with CRM systems (e.g., Salesforce, Dataforma, CompanyCam) or construction-specific platforms.
• Bilingual English/Spanish is a plus.
