Responsibilities

  • Coordinate the flow of production information between Sales, the customer, and the facility.
  • Write complete, specific and accurate job tickets for assigned projects.
  • Monitor production to ensure quality, on-time delivery and customer satisfaction.
  • Lead or participate in pre-production and cross‑department meetings to plan projects.
  • Minimize outsourcing where possible and coordinate with approved external vendors when needed.

Department: Print/Digital Print Production

Summary

The Junior Production Coordinator is responsible for coordinating the flow of critical production information between Sales, the customer, and the manufacturing facility. This role ensures that all job specifications spanning commercial print, digital print, and mailing are accurately translated into specific job tickets. The coordinator serves as the "customer’s representative" within the plant, monitoring all facets of production to ensure quality standards, customer satisfaction, and on-time delivery. This role is also designed for individuals with an interest in learning the printing business as a steppingstone toward a future Sales role within DG3.

Accountabilities
  • A) Customer Relations & Communication
  • Client Advocacy: Function as the primary point of contact for the client in the salesperson’s absence; communicate missing information required for job completion.
  • Conflict Resolution: Resolve production or delivery date conflicts with sales, management, or the client.
  • Inventory Management: Maintain client-specific inventory and informational spreadsheets.
  • Professionalism: Maintain high customer service standards while managing high-profile accounts.
  • B) Operational Procedures
  • Project Planning: Lead or assist in pre-production planning meetings for projects requiring multi-departmental input.
  • Job Entry: Write complete, specific, and accurate job ticket information for any assigned client or project.
  • Workflow Oversight: Coordinate with Sales, Estimating, and Manufacturing to ensure production is efficient, on budget, and meets the customer’s expectations.
  • Outsourcing Management: Exercise all options to minimize outsourcing; coordinate services with approved outside vendors when necessary.
  • C) Financial & Billing Accuracy
  • Cost Recovery: Obtain appropriate authorizations for additional costs incurred (e.g., authorized alterations and overtime) and ensure these are recorded.
  • Billing Review: Review all billing to capture missed charges, such as Author’s Alterations (AAs) or expedited fees.
  • D) Quality Assurance
  • Continuous Improvement: Participate in Quality objectives and follow all established Quality Procedures.
  • Problem Mitigation: Lead meetings with applicable Supervisors to discuss quality concerns or incoming jobs requiring additional technical details.
Qualifications, Knowledge, Skills and Abilities
  • Industry Expertise: A background in a commercial and digital printing environment with experience in mailing services.
  • Technical Proficiency: Microsoft Word and Excel experience required; knowledge of Monarch MIS systems is a strong plus.
  • Organizational Skills: Highly organized initiative-taker and meticulous analytical thinker.
  • Communication: Exceptional verbal and written communication skills for both internal and external stakeholders.
  • Soft Skills: Professional attitude, positive morale contributor, and the ability to work independently or as part of a fast-paced team.
Education and Experience
  • Education: Bachelor’s Degree preferred, or 3–5 years equivalent experience in commercial print, digital, and mailing.
  • Experience: Minimum 3–5 years of experience within print production or client service, managing accounts.
  • Primary Setting: Office environment.
  • Physical Conditions: Some work occurs in manufacturing/warehouse areas which may be noisy, hot, and humid.
  • Pace: High-stress environment with frequent deadline pressure and multiple competing priorities.
