Job summary

Oarsman Capital, Inc. is seeking an Associate Operations Specialist to provide foundational support to the operations team. You will assist with account paperwork, data entry, and routine service tasks while learning firm systems and processes.

Reporting to the Office Manager, this role emphasizes accuracy, organization, and collaborative teamwork in a Milwaukee-based RIA with over 25 years of client-focused service.

Qualifications

• Associate’s or Bachelor’s degree preferred.
• 0–2 years of experience in office administration, client or financial services.
• Strong attention to detail and willingness to learn new systems and processes.
• Comfortable with Microsoft Office Suite; Excel familiarity preferred.
• Strong organizational and follow-through skills.
• Positive attitude and willingness to take direction and grow professionally.

Responsibilities

• Prepare and organize client paperwork for account openings, transfers, and updates.
• Enter client and account data accurately into internal systems.
• Support routine client service tasks such as address changes, beneficiary updates, and basic requests.
• Assist with document imaging, filing, and workflow tracking.
• Perform data entry, reporting, and document management to support firm operations.
• Support the Office Manager with project-based initiatives and workflow tracking.
• Monitor tasks assigned through CRM or workflow tools and complete them in a timely manner.
• Learn firm systems, processes, and custodian procedures with guidance and training.
• Participate in team meetings and contribute to continuous improvement discussions.
