Responsibilities

  • Greet visitors; coordinate onsite meetings, catering, print/bind materials, and manage conference room prep and mail.
  • Manage CEO calendar aligning business and personal commitments; coordinate across family, staff, and networks.
  • Plan hour-by-hour travel itineraries across time zones and coordinate private aviation and carriers.
  • Handle confidential information with discretion and sound judgment.
  • Coordinate expenses with accounting for personal, business, and philanthropic activities.
  • Ensure daily communication with business and personal staff for aligned execution.
  • Travel as needed to support CEO, family, and staff during high-priority situations.
  • Create publication PDFs for distribution; ensure accuracy.
  • Provide backup support to CEO Executive Team for seamless management.

Job description

Graham Partners is seeking a highly organized and high-potential Junior Assistant to the Executive Team of the CEO of a private investment firm based in the Philadelphia suburbs. This role spans both professional and personal domains, requiring a hospitality-first mindset, strong judgment, and exceptional attention to detail. This is a unique opportunity to work closely with a senior executive team in a fast-paced environment, gaining direct exposure to how a CEO operates across business, personal, and family priorities. The ideal candidate thrives under pressure, anticipates needs before they arise, and takes pride in delivering a consistently high standard of execution.

Responsibilities
  • In-Person Coordination: Onsite meeting support and management consisting of greeting of visitors, office tours, management of catering requirements, hard copy material printing and binding, scheduling and prep of conference rooms, general meeting clean up, sorting of incoming mail, delivery and pick up of items between office and personal residence.
  • Executive Time & Priority Management: Assist with optimization of the CEO’s calendar across all aspects of his life, integrating business priorities with personal commitments (fitness, wellness, medical, philanthropy, networking, etc.). Including coordination across extended family, house staff, corporate teams, and a broad external network to ensure all meetings and commitments are executed with precision and a high standard of service. Consisting of 24/7 style text messaging communication on a true seven day a week basis with various hours needed.
  • Travel Strategy & Logistics Management: Assist with the building and management of detailed, hour-by-hour travel itineraries across multiple time zones, incorporating contacts, contingencies, and real-time variables. Assist with the coordination of complex domestic and international travel via private aviation, NetJets, and commercial carriers.
  • Confidentiality & Judgment: Handle sensitive information and interpersonal dynamics with discretion, sound judgment, and professionalism.
  • Financial Coordination & Oversight: Partner with the accounting team to track and manage expenses across personal, business, and philanthropic activities.
  • Operational Communication & Alignment: Maintain daily communication with business and personal staff to ensure alignment, preparedness, and seamless execution of the CEO’s schedule.
  • On-the-Ground Execution Support: Travel as needed to manage logistics and support the CEO, family, and staff during complex or high-priority situations.
  • Publication Creation: PDF conversion of various articles and publications for public distribution. Requiring precision, attention to accuracy, and occasional finesse.
  • General Assistance: Provide backup and support to the CEO Executive Team as a trusted, reliable member to create seamless integration with the appearance of interchangeable management.
We seek top-tier talent with the following qualifications:
  • Experience: 0–3 years of experience (including internships), ideally in high-performance, service-oriented, or fast-paced environments.
  • Hospitality Mindset: A polished, service-oriented approach. Experience in hospitality, athletics, campus leadership, or other high-accountability environments is highly valued.
  • Organizational Skills: Strong ability to manage multiple priorities and complex schedules in a dynamic environment.
  • Communication: Clear, professional, and personable written and verbal communication skills.
  • Flexibility: Critical to provide responsive support as needed, including hours outside of those deemed as standard hours.
  • Emotional Intelligence & Discretion: Strong judgment, interpersonal awareness, and ability to handle sensitive information with confidentiality.
  • Proactive & Resourceful: Anticipates needs, solves problems efficiently, and executes with strong attention to detail.
  • Technical Proficiency: Familiarity with scheduling tools, travel platforms, and Microsoft Office/Google Workspace.
