This position is responsible for receiving criminal charges from the District Court, Grand Jury, and State?s Attorney?s Office. Initiate case file, enter case information, and scan documents into Odyssey. Receive electronic documents filed in File and Serve, process accordingly. Receive Court orders, documents from Judges, through Task Manager and process them in the Electronic Case Management System. Review cases at the conclusion of the case and process case closure tasks so the information can electronically be sent to CJIS. Process and distribute warrants and body attachments. Create invoices, assess and/or collect court costs. Process bails, administer oaths and prepare forms for release of incarcerated individual s. Accept and process Petitions for Expungement including hearings and order processing. Ensure accurate case security and integrity resulting from Petition for Expungement outcome.

Essential Duties and Responsibilities:

Initiate new cases by receiving charging documents from District Court, Grand Jury, and State?s Attorney?s Office.

Review and process mail and electronic case filings. Qualify all filings for acceptance or rejection pursuant to applicable rules and policies. Forward information to the Judge?s queue for review and/or parties or other court agencies.

Read and interpret Court orders to determine appropriate Clerk actions. Process and distribute all Court orders to the appropriate parties and agencies.

Send transmittals to District Court or other circuit courts.

Issue subpoenas and warrants, ensuring bond status is updated.

Release warrants when appropriate.

Process monetary judgments and issue writs of garnishments and executions.

Scan paper pleadings to electronic case management system.

Review documents to redact and seal items as necessary.

Receive preliminaries from District Court, update information in Circuit Court case with current bail information and any changes to the case.

Accept and process Petitions for Expungement.

Initiate Clerk Service of Petitions for Expungement.

Process orders for expungement hearing outcomes.

Generate Expungement Certificates of Compliance and serve agencies; accept and process signed expungement compliances returned to the court.

Review Financials to clear court fees and costs.

Ensure accurate case security and integrity resulting from Petition for Expungement outcome.

Scan paper pleadings to electronic case management system.

Perform redactions as required.

Process Unit Charge Removals.

Assist the public with respect to the expungement process.

Assist the public, support agencies, Judges, Court staff and self-represented litigants with questions concerning criminal cases via telephone, in person, through mail, and email.

Assist attorneys and self-represented litigants in filings and understanding court procedures.

Answer phone calls and assist public accordingly.

Be resourceful enough to answer questions of self-represented litigants without giving legal advice.

Direct customers to other related counties and/or state agencies who could further assist them.

Record and verify bail information on appropriate documents. Administer oaths to Defendants and surety. Prepare release of incarcerated individual forms for their release.

Mail requested information to public.

Double-check work received at customer service window before accepting for filing.

Direct self-represented litigants to Judiciary website to obtain needed forms and instructions.

Initiate and process traffic violation payment plans.

Calculate appropriate filing and court-related fees and process payments received.

Perform Cashier duties, posting checks and cash to appropriate accounts.

Process Bond Forfeitures and Update Bond tab when appropriate.

Check open Court costs for customers.

Minimum Qualifications:

Education:

High school diploma (or GED equivalent).

Experience:

One (1) year of work experience, preferably in court operations or in the fields of criminal justice, parole and probation, legal or financial services.

Note:

A Bachelor?s Degree may substitute the required work experience.

A Paralegal/Associates Degree or 60 college credits may substitute for the required year of work experience.

A Paralegal Certificate may substitute the required work experience.

Knowledge, Skills, and Abilities:

Knowledge of:

Reading and applying job-related terminology, codes, policies, procedures, rules, regulations, and laws as required to exercise judgment in their interpretation and application.

Defining problems, collecting, and recording data, establishing facts, drawing valid conclusions, applying common sense understanding and making decisions based on knowledge and experience to solve problems in accordance with established policies and procedures.

Skill in:

Operating a personal computer and/or laptop to perform basic data entry error-free and use a desktop scanner and printer.

Operating a multiple line telephone and answer incoming telephone calls in a respectful and professional manner; repeat information in the correct text it was given.

Operating a copier to make copies and a scanner to scan documents to electronic cases and email.

Scanning paper files into Odyssey for future hearing dates and to create an electronic record.

Performing basic mathematical skills, including the ability to count money, make change, write bills, and operate a computerized cash register.

Ability to:

Communicate verbally and in writing utilizing proper grammar, punctuation, and spelling in an effective, patient, and tactful manner with internal and external customers, including co-workers.

Listen to verbal instructions and/or review written instructions to fulfill requests and complete various tasks.

Articulate directions, instructions and information in a group or a one-on-one setting to Attorneys, Defendants, Judges, Magistrates, Court staff and other Court agencies using proper word tense and annotation.

Multi-task by organizing, setting priorities, focusing, and concentrating to simultaneously process work and responsibilities error-free within considerable time constraints and in an environment with continuous interruptions; make corrections as needed.

Read and interpret comments, notations, and orders, record essential information, and initiate appropriate course of action.

Physical Requirements:

Sedentary work . Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
