Job summary

Beaufort County Clerk of Court is seeking a Records Clerk to maintain the records of the Court of Common Pleas and General Sessions. This position works under close supervision according to established procedures.

You will interact with judges, attorneys, and the public, screen requests for hearings, prepare bail and discharge documents, and assist with front desk duties including public guidance on procedures. An associate degree or equivalent and 1–3 months related experience are required.

Qualifications

  • Requires an associate degree, vocational technical degree or specialized training equivalent to two years of college education.
  • Over one month and up to three months of related experience or an equivalent combination of education, training and experience.

Responsibilities

  • Clock-in, verify, scan and file official documentation into case files.
  • Obtain and transfer inmate packets and prepare warrants; email to detention center; scan and file records.
  • Interact with judges, attorneys, law enforcement, public defenders and others in Common Pleas and General Sessions’ cases.
  • Screen communications to determine if matter is appropriate for a judge’s consideration.
  • Provide public guidance on how to proceed in various judicial matters and refer to appropriate contacts.
  • Perform limited clerical work as directed by judges or the Court Administrator.
  • Provide front desk assistance with Public Defender applications, defendant payments, pro-se documents, and public assistance.
  • Prepare bail and discharge documents for Bondspersons for inmate release.
  • Receive bond payments and enter case information in the Court Management System (CMS).
  • Prepare and maintain trial, motions and plea rosters.
  • Perform related work as assigned by the Clerk of Court.

Job description

The purpose of this position is to maintain the records of the Court of Common Pleas and General Sessions. This class works under close supervision according to established procedures.

The essential functions listed below are those that represent the majority of the time spent working in this class. Management may assign additional functions and duties related to the type of work of the class as necessary.

  • Clock-in, verify, scan and file official documentation into case files.
  • Obtain and transfers inmate packets from the Beaufort County Detention Center. Prepare, clockin and e-mail warrants to the Beaufort County Detention Center Intake. Scan, redact and file records to corresponding defendant files.
  • Assist, answer questions and interact with fellow employees, judges, attorneys general, attorneys, law enforcement, public defenders, general public and others associated with Common Pleas and General Sessions’ cases.
  • Screen all communications and requests from individuals seeking a hearing with a judge, either in person, by telephone or through mail, to determine the reason(s) for the contact and if the matter is appropriate for a judge’s consideration.
  • Provide the public guidance on how to proceed in various judicial matters or refer to the appropriate person(s) as it applies to the situation. (The Clerk of Court’s Office DOES NOT offer any person legal advice or any semblance thereof.)
  • Perform limited clerical work as directed by judges or the Court Administrator.
  • Provide front desk assistance with Public Defender applications, defendant payments, pro-se filed documents, and provide assistance to the public.
  • Prepare bail and discharge documents for Bondspersons for the release of inmates.
  • Receive bond payments and enter case information in the Court Management System (CMS).
  • Prepare and maintain trial, motions and plea rosters.
  • Perform related work as assigned by and at the behest of the Clerk of Court.
MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS:
  • Requires an associate’s degree, vocational technical degree or specialized training that is equivalent to satisfactory completion of two years of college education.
  • Over one month and up to and including three months of related experience or an equivalent combination of education, training and experience.
