Job summary

Hill Country Mental Health and Developmental Disabilities Centers is hiring an JBCR Administrative Specialist in Hays County. The role supports JBCR program staff with administrative tasks, court order coordination, data entry, and reporting.

You will interact with program personnel, patients, and external contacts, maintaining confidentiality and HIPAA compliance while delivering excellent customer service.

Qualifications

  • High school diploma/GED required.
  • Two years' experience in duties related to the position.
  • Valid Texas driver’s license and auto insurance.
  • CPR certification and PMAB training within first 3 months of employment.
  • Two years’ experience using computer database systems or web portals.
  • Two years’ experience with Microsoft Office (Word & Excel).

Responsibilities

  • Maintain flow of information for court orders using multiple systems and communicate with program staff.
  • Answer phone calls, respond to emails, coordinate court orders, distribute orders, update system details, typing and filing.
  • Assemble, enter and organize data in program tracking systems daily for accurate reporting.
  • Compile reports and distribute per procedures.
  • Provide administrative support to Program Managers/Directors and for assigned programs.
  • Produce compiled reports for all programs in a timely manner.
  • Collaborate with team and participate as a team member.
  • Ensure compliance with HIPAA and organizational policies.
  • Maintain organized schedules and travel as needed.
  • Work autonomously to meet deadlines with high quality.

JBCR Administrative Specialist (Hays County)

Help us help others:

The Administrative Assistant is a customer service and solution-oriented position that supports staff within the Jail-Based Competency Restoration program. This position will facilitate communication and administrative and/or clerical tasks to support the JBCR Program staff and other programs assigned.

You will get to:

  • Maintain flow of information for court orders using multiple systems and effectively communicate with assigned program personnel as directed by Program Managers/Directors.
  • Provide routine office support according to organization/departmental procedures such as answering phone calls, responding to emails, coordinating court orders, distributing orders, updating system details, typing, and filing.
  • Assemble, enter, and organize data in program tracking systems daily to maintain accurate information for reporting.
  • Compile reports and distribute according to departmental/organizational procedures.
  • Provide administrative support for the assigned Program Managers/Directors in accordance with departmental/organizational procedures.
  • Provide compiled reports for all assigned programs in a timely manner.
  • Work well with others in a collaborative manner. Actively participate as a member of the team.
  • Comply with Hill Country and Comal SO policies and procedures, accrediting/regulatory bodies, and contractual requirements.
  • Demonstrates ethical conduct, professionalism, and confidentiality in all activities.
  • Communicate and work with staff/patients/outside personnel in a manner that demonstrates sensitivity to cultural diversities.
  • Adapt to changing work requirements.

You\'ll definitely need:

  • High school diploma/GED
  • Two years\' experience in duties related to the position.
  • Maintain a valid Texas state Driver\'s License and auto insurance.
  • To complete and maintain both CPR certification and Prevention and Management of Aggressive Behavior training within the first 3 months of employment.
Preferred -
  • Two years\' experience utilizing computer database systems or web portals.
  • Two years\' experience with Microsoft Office Suite, specifically Word and Excel.

  • Provide exemplary customer service and care to individuals with their best interest at heart.
  • Work autonomously to complete assignments within community and HHSC standards with a high level of quality.
  • Work cooperatively with others, and be punctual and consistent in your attendance, because your people will rely on you!
