Job summary

Planet Group in Dallas, TX is seeking an experienced Project Administrator to support financial, resource, and operational management of multiple Corporate IT projects.

You will work with IT Project Managers, Resource Managers, Finance, and other stakeholders to maintain project data, monitor budgets, forecast costs, track time and materials, and ensure contracts are properly managed.

Qualifications

• 5+ years of experience in Corporate IT project administration, IT PMO, project controls, or a related field.
• Experience supporting multiple technology projects through the full project lifecycle.
• Strong understanding of project financial management, including forecasting, actuals, cost tracking, and variance analysis.
• Experience managing resource allocations, T&M projects, timesheets, expenses, SOWs, and purchase orders.
• Strong Excel skills with the ability to analyze and reconcile project and financial data.
• Ability to understand the cost impact of changes to project scope, resources, schedules, and delivery dates.
• Strong organizational skills with the ability to manage multiple projects and competing priorities.
• Excellent communication and follow-up skills when working with Project Managers, Finance, resource managers, and other stakeholders.
• Proactive problem-solver who can identify missing information, discrepancies, and potential issues independently.
• Self-motivated and curious, with the ability to research and resolve questions without requiring step-by-step direction.

Responsibilities

• Set up and maintain technology projects within project management and financial systems.
• Maintain project forecasts and update financial projections based on actuals, staffing changes, timelines, and anticipated expenses.
• Track time and materials, timesheets, expenses, travel, and other project-related costs.
• Monitor purchase orders, commitments, and project funding to ensure costs are accurately captured.
• Review SOWs for scope, staffing, rates, milestones, funding, and contract dates.
• Monitor upcoming project and SOW expiration dates and coordinate with Project Managers on extensions, renewals, or closeout activities.
• Identify and investigate budget variances, missing costs, resource gaps, and other discrepancies.
• Partner with Project Managers to assess the financial impact of changes to scope, staffing, timelines, or go-live dates.
• Prepare project financial and resource reporting for IT leadership and stakeholders.
• Support project closeout by reconciling resources, time, expenses, commitments, and final costs.
• Maintain accurate project documentation and ensure project and financial information remains current.
