Role Overview

Mitsubishi Power Americas, Inc. is seeking a detail-oriented Asset & IT Documentation Analyst I to support the administration and continuous improvement of the company's IT Asset Management (ITAM) Program. This position is responsible for maintaining IT asset records, supporting hardware and software lifecycle management, managing IT procurement activities, maintaining documentation, supporting audit and compliance initiatives, and ensuring accurate inventory and financial records. The role works closely with Information Technology, Supply Chain, Finance, vendors, and Mitsubishi Heavy Industries America (MHIA) to support operational excellence, governance, and accountability for technology assets. This is a hands-on role requiring regular interaction with IT equipment, inventory storage locations, and business stakeholders. On-site presence in Lake Mary, Florida is required.

IT Asset Management & Inventory

• Maintain accurate hardware and software asset records within approved Asset Management and ITSM platforms.
• Support the complete lifecycle of IT assets, including procurement, receiving, deployment, assignment, transfer, recovery, and disposal.
• Conduct physical inventory audits and reconciliations to ensure asset accuracy and accountability.
• Track asset ownership, inventory levels, equipment assignments, and asset recovery activities.
• Support software asset management and license compliance efforts.

Procurement & Financial Administration

• Create and manage purchase requisitions, purchase orders, and goods receipts utilizing SAP, Coupa, and other approved systems.
• Coordinate with Supply Chain, Finance, vendors, and MHIA stakeholders regarding technology purchases and asset-related transactions.
• Review and resolve invoice discrepancies, receiving issues, and purchase order mismatches.
• Maintain procurement, asset, and financial documentation in support of audit and governance requirements.

Documentation, Compliance & Governance

• Develop and maintain SOPs, work instructions, process documentation, knowledge articles, and governance records.
• Support audit readiness activities by maintaining accurate records and documentation.
• Assist with compliance initiatives related to IT Asset Management, software licensing, internal controls, and information security requirements.
• Identify process improvement opportunities and support implementation of operational efficiencies.

IT Service Management & Reporting

• Manage and update asset, procurement, and operational tickets within the organization's IT Service Management (ITSM) platform.
• Ensure requests are properly documented, tracked, and resolved in accordance with established procedures.
• Develop and maintain operational reports, dashboards, and asset management metrics.
• Analyze asset, inventory, and procurement data to support business decision-making and process improvements.

Collaboration & Support

• Partner closely with IT, Supply Chain, Finance, MHIA, and business stakeholders.
• Support vendor communications related to purchasing, warranties, asset recovery, and inventory management.
• Participate in technology refreshes, office moves, inventory projects, and other operational initiatives.
• Perform additional duties and special projects as assigned.

Requirements

• Bachelor’s degree in information technology, Information Systems, Business Administration, Supply Chain Management, Finance, or related field.
• Minimum two (2) years of experience in IT Asset Management, inventory management, IT operations, procurement, finance operations, documentation management, or a related area. Equivalent combination of education and experience may be considered.
• Travel: up to 5%.

Preferred Qualifications

• Experience with SAP (S/4 Hana, Coupa, and Ariba), Freshservice, Tanium, Intune, or Power BI.
• Knowledge of IT Asset Management (ITAM) best practices.
• Familiarity with ISO 27001, IT General Controls (ITGC), and audit processes.
• Experience working with procurement processes, purchase orders, goods receipts, and invoice reconciliation.
• Experience using IT Service Management (ITSM) ticketing platforms.
• Strong attention to detail and data accuracy.
• Excellent organization, communication, and problem-solving skills.
• Proficiency with Microsoft 365 applications, including Excel, Word, PowerPoint, and SharePoint.
• Experience creating documentation, SOPs, and process workflows.
• Ability to manage multiple priorities in a fast-paced environment.
