Job summary

Audax Private Debt in New York is seeking an Investor Relations Operations (IR Ops) Analyst to support the firm’s investor relations program with data-driven processes and timely reporting.

You will manage outbound communications to investors, maintain CRM data quality, coordinate reporting with Finance, Portfolio Reporting, Legal, Compliance and external fund administrators, and help ensure accuracy and timely delivery of materials across multiple stakeholders.

Qualifications

  • Bachelor's degree preferred with 2-5 years of previous relevant experience
  • Previous asset management industry or investor relations experience preferred
  • Experience with CRM databases such as Dynamo and Salesforce
  • Proficiency with Microsoft Office: Excel, Word, PowerPoint, Outlook
  • Strong organizational skills and detail orientation
  • Proactive, ambitious, and eager to learn

Responsibilities

  • Coordinate investor onboarding and data entry in the Audax CRM
  • Maintain CRM data quality and backfill data as needed
  • Handle ad hoc requests and ensure timely reporting
  • Coordinate investor audit confirmations and reporting
  • Monitor investor requests and coordinate responses across departments
  • Communicate with Finance, Portfolio Reporting, Legal, Compliance and fund administrators
  • Support investor reporting and tax documentation workflows
  • Record investor tax forms in the CRM
  • Assist regular IR Ops deliverables to internal teams
  • Prioritize outbound investor communications
  • Maintain DDQ/RFP library and content version control
  • Track licensing renewals and access to research materials
  • Gather fundraising news for data input
  • Complete special projects as assigned
  • Anticipate team needs and resolve issues

Position Summary

Audax Private Debt is seeking an Investor Relations Operations (IR Ops) Analyst to contribute to a high-performing team. The firm’s Investor Relations effort has a high degree of responsibility and corresponding visibility externally with limited partners and internally with senior management.

The Investor Relations Operations Analyst will handle all outbound mass communications and postings to investors as well as a variety of inbound inquiries. The role requires the ability to prioritize multiple assigned tasks and deliverables in a deadline-oriented environment. Successful candidates are creative problem-solvers and self-starters who have the proven ability to produce results. Attention to detail, strong interpersonal skills, quantitative and qualitative reasoning ability, and a rigorous work ethic are prerequisites.

Responsibilities
  • Coordinate with internal and external parties on investor onboarding process to ensure timely and accurate data entry in the Audax CRM
  • Maintain CRM data quality through routine review of investor data and assist with data backfills when needed.
  • Manage ad hoc requests on compressed deadlines with internal and external teams to ensure clear expectations of timeframes and prompt delivery of required reporting
  • Coordinate and track detailed processes, including investor audit confirmations, ILPA and ad hoc investor reporting
  • Monitor inbound investor requests and coordinate timely responses with multiple internal departments
  • Liaise with transfer agent in initial review of daily order file and elevate as needed for internal review
  • Daily communication with Finance, Portfolio Reporting, Legal, Compliance, and external fund administrators to ensure industry best services to our investors
  • Support downstream internal and external custodian investor reporting by coordinating inputs, performing quality checks, and helping ensure timely, accurate delivery.
  • Document and record investor tax forms and associated updates in the CRM
  • Assist in regular reporting of IR Ops ongoing deliverables to internal teams on regular cadence
  • Prioritize and distribute outbound investor mass communications including capital call/distribution notices, quarterly investor letters, financial statements, tax documentation, etc.
  • Cross training to provide overflow support for investor onboarding, correspondence merging, monthly/quarterly reporting, and ad hoc requests received.
  • Maintain the DDQ/RFP library by updating/organizing categorization to standard responses, and ensuring version control along with content consistency.
  • Monitor news and research licenses by tracking renewals and entitlement to keep access current.
  • Support fundraising industry news deliverables by gathering articles and compiling materials for data input
  • Complete special projects as assigned
  • Anticipate the team’s needs/requirements and actively resolve issues
Qualifications
  • Bachelor's degree preferred with 2-5 years of previous relevant experience

  • Extensive knowledge of CRM databases (Dynamo, Salesforce) ideal
  • Strong proficiency with Microsoft Office: **Excel**, Word, PowerPoint, Outlook

Location

New York, New York. Hybrid, 4 days/week in office. These in office requirements may change based on the needs of the business.

Salary

For New York: The base salary range for this position is [$90,000 - 105,000]. The base salary range represents the estimated low and high end for this position at the time of this posting. Consistent with applicable law, compensation may vary and will be determined based on but not limited to, the skills, qualifications, and experience of the applicant along with the requirements of the position, and Audax reserves the right to modify this pay range at any time. An employee may also be eligible for annual discretionary incentive compensation based on performance.
