An independent RIA focused on the UHNW space is seeking a highly organized and detail-oriented Investment Operations Associate to join our team. This role is critical to the implementation of investment strategies, execution of firm operations, and delivery of exceptional client service. The ideal candidate has prior experience in investment advisory operations, thrives in a process-driven environment, and is committed to providing outstanding support to both advisors and clients.

Key Responsibilities
  • Aggregate and validate trades, ensuring accurate and compliant execution of investment strategies
  • Execute quarterly rebalancing and ad-hoc trading requests
  • Maintain client accounts and portfolios in the firm’s portfolio management system for accurate reporting
  • Manage cash balances across portfolios and assist with investment research and analysis
  • Prepare onboarding documents and maintain client records across systems (portfolio management, CRM, trading tools, client vault)
  • Respond to advisor and client service requests regarding accounts, documents, and transactions
  • Coordinate with financial advisors on pre-meeting preparation and post-meeting follow-up
  • Prepare and distribute quarterly client performance reports
  • Open, transfer, and maintain client accounts with custodians
  • Process wires, ACH transfers, RMDs, check requests, and other money movements
  • Monitor daily workflows to ensure timely and accurate transaction execution
Technology & Process Optimization
  • Serve as subject matter expert on firm technology platforms (portfolio management, CRM, trading tool, financial planning software, and client vault)
  • Identify workflow efficiencies and propose/implement process improvements
Compliance & Documentation
  • Maintain and organize custodial records, trade logs, and audit trails
  • Assist with compliance filings and regulatory reporting as needed
Qualifications
  • Bachelor’s degree in finance, Accounting, Economics, or related field preferred
  • 2–4 years of experience in investment advisory operations, trading, or client service within an RIA or wealth management firm
  • Experience with Access
  • Series 65 is required
  • Strong attention to detail, organizational skills, and ability to manage multiple tasks in a deadline-driven environment
  • Proficiency with portfolio management and CRM systems (e.g., Orion, Tamarac, Black Diamond, Salesforce) a plus
  • Excellent communication and problem-solving skills with a client-first mindset
