Job summary

Morgan Stanley is seeking an experienced Executive Assistant to support the executive and team with confidential administrative tasks, scheduling, reporting, travel arrangements, and correspondence.

The role requires strong calendar management, MS Word/Excel/PowerPoint skills, and excellent communication. You will interact with staff at all levels in a fast-paced, matrixed environment and must be discreet and proactive.

Qualifications

  • Minimum of 3 years of experience in an Executive or Administrative Assistant role.
  • High school diploma or GED is required; a Bachelor's degree is preferred.
  • Strong calendar management and multi-tasking abilities in a fast-paced environment.
  • Proficient in MS Word, Excel and PowerPoint with basic formatting and mail merge skills.
  • Excellent written and oral communication; professional telephone etiquette.

Responsibilities

  • Provide high-level administrative support to the executive and team.
  • Manage calendars and coordinate meetings, travel arrangements, and conference calls.
  • Prepare correspondence, reports, and information requests; handle confidential information.

Job description

The Executive Assistant will be responsible for performing an array of administrative functions requiring confidentiality, initiative and sound decision making for the executive and his/her team. You will provide high-level administrative support by periodically providing research, preparing reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, travel arrangements, and scheduling meetings.Additionally, the ability to interact with staff (at all levels) in a fast-paced environment, remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism is crucial to this role. You should demonstrate experience in developing relationships in a highly matrixed organization as well as experience in handling the administrative and executive support related tasks with minimal supervision.
