About the role

The Investigations Coordinator is a vital pre‑litigation role in a personal injury law firm, responsible for building strong, well‑documented cases through proactive client communication, thorough evidence gathering, and meticulous file management. This position serves as the primary ongoing point of contact for clients, initiating contact within 48 hours of case assignment and maintaining regular outreach (at least monthly) to monitor progress, address needs, and collect critical information. Core duties include reviewing and completing case documentation in Litify, verifying accuracy with clients, uploading and organizing evidence (such as police reports, photos/videos, witness statements, and property damage estimates), sending letters of representation to insurance carriers, and requesting coverage details. The coordinator collaborates closely with attorneys on complex or serious injury matters, provides prompt professional phone support, and ensures exceptional client satisfaction while upholding high organizational and professional standards in a fast‑paced environment. What you’ll do
  • Places an introductory call to the client within the first48 hours of receiving the case assignment.
  • Along with Damages Coordinator, remain in contact with client, logging at least one phone call to the client every30 days for status of their case and acquisition of other pertinent information regarding their case.
  • Assesses the completeness of the case documentation provided by intake specialists and obtains missing documentation if required and confirms proper information inputted to Litify.
  • Reviews documentation and accuracy of information with clients.
  • Maintains client file with progress reports and claim status while accompanying established organizational guidelines on Litify and Server.
  • Answers all calls promptly, professionally, and using a friendly greeting.
  • Scans documents related to the case into the client case system file: Litify.
  • Updates the case management system at every stage of the case, documenting all pertinent information and conversations.
  • Obtains and reviews the police reports on serious injury cases. Forward these reports to the team attorney.
  • Obtain photo and/or video evidence from clients in a timely fashion. Consults with team attorney regarding what photo or video evidence may be needed on the file.
  • Consult with attorney regarding claims process and special, unusual, or complex circumstances.
  • Assist with witness identification and location. Ensure all witness information is documented into Litify.
  • Obtain witness statements at the direction of the team attorney.
  • Assist clients with any property damage needs and ensure copies of any property damage estimates are saved to the client's file.
  • Send letters of representation to all involved insurance companies. Request copies of insurance coverage, verification, and policy limits. Save copies to the client file.
  • Maintain the utmost professional standards towards the firm and its clients.
  • Achieve high customer satisfaction in the claims process.
  • Other tasks as assigned.
Qualifications
  • High school diploma or equivalent. Bachelor degree preferred.
  • Minimum 1 year of Personal Injury experience.
