Job summary

SiPhox Health seeks an experienced Inventory Manager to build and own materials management for our Burlington manufacturing and lab operations in Massachusetts. Job description

SiPhox Health seeks an experienced Inventory Manager to build and own materials management for our Burlington manufacturing and lab operations. You'll own materials flow end-to-end for a regulated diagnostics manufacturer — purchase requisition, receiving/inspection, storage, production consumption, outbound shipment, and off-site capacity. This means standing up the inventory system of record and part numbering/BOM/transaction structure; setting inventory policy; owning material control processes auditors will review; and managing supplier delivery performance, freight, and dangerous goods compliance.

This is a build-from-the-ground-up IC role with real autonomy and no existing playbook. You'll set direction and do the work, influencing R&D, Manufacturing, Quality, Regulatory, and Finance without formal authority. Ideal candidates have run materials management in a regulated manufacturing environment, stood up or rebuilt an inventory system, and are credible on the receiving dock, in a spreadsheet, and in front of an auditor.

Key Responsibilities

Inventory System Ownership & Data Integrity

• Select, implement, and own the ERP/inventory system — item master data, part numbering, UOM, location/bin structures, BOM accuracy
• Define transaction model (receipts, issues, moves, adjustments, returns) and controls keeping system quantities accurate
• Own lot/batch/serial traceability supporting device history records and post-market traceability
• Design and run cycle count and physical inventory programs; drive discrepancies to root cause
• Own inventory reporting (accuracy, turns, aging, obsolescence, burn rate, fill rate)
• Migrate records from spreadsheets/ad-hoc tools into the system of record

Inventory Policy & Material Planning

• Set reorder points, min/max levels, safety stock, ABC classification, lead-time data
• Own material availability against production schedules; identify long-lead/single-source/allocation risk and drive mitigation
• Balance line-down risk against working capital and expiry exposure
• Drive disposition of slow-moving, excess, and obsolete inventory
• Forecast material/storage needs against ramp plans

Receiving, Inspection & Material Control

• Own receiving and incoming inspection under the eQMS, including receipt transactions triggering payment
• Own material status control (accepted/quarantined/on-hold/rejected); initiate and close NCRs with Quality
• Own stock room, loading dock, and controlled storage areas — layout, labeling, capacity, environmental monitoring, access control
• Own supplier documentation intake (CoA/CoC, calibration certs, material certs) for audit readiness
• Own cold chain receipt handling and excursion escalation
• Partner with Facilities on stock room/dock upkeep and EHS on chemical inventory, SDS library, gas cylinders, hazardous waste
• Negotiate pricing/terms/lead times; track savings against total landed cost
• Manage supplier delivery/quality performance; elevate or requalify as needed
• Own supplier onboarding and Approved Supplier List
• Own three-way match resolution (PO/receipt/invoice) with AP

Logistics, Shipping & Distribution

• Own outbound logistics for regulated/unregulated goods (finished product, samples, capital equipment, returns)
• Hold dangerous goods shipper certification; own DOT/IATA/ICAO/IMDG shipments (dry ice, UN3373 biological substances, hazardous chemicals)
• Own shipping documentation: packing lists, bills of lading, commercial invoices, DG declarations, HTS classification
• Own export compliance and customs broker/freight forwarder relationships
• Own direct fulfillment for small parcel orders (pick, pack, lot capture, returns)
• Evaluate 3PL/fulfillment partners as volume grows

Off-Site Storage & Capacity Buildout

• Identify, evaluate, and build out off-site storage: site selection, cost/lease comparison, layout/racking design
• Establish controls for off-site locations (access, segregation, monitoring, transfer procedures)
• Manage ongoing off-site operations including transfers, counts, moves

Quality, Compliance & Documentation

• Ensure material control compliance with 21 CFR Part 820/QMSR and ISO 13485
• Author and revise SOPs, work instructions, and forms; deliver training
• Serve as process owner for material control in audits; carry findings through CAPA to closure
• Own calibration/monitoring of inventory-related equipment (scales, temp/humidity monitors, data loggers)

Internal Service & Cross-Functional Partnership

• Design and roll out process for inventory/supply requests
• Treat internal colleagues as customers; respond promptly, close the loop on changes
• Partner with R&D, Manufacturing, Quality, Regulatory, Finance on material availability
• Escalate cost/lead-time/quality issues early with recommendations
• Execute stocking, kitting, staging, point-of-use replenishment while the function is small
• Support facility projects, equipment installs, and moves
• Build the function to scale: workflows, tooling, automation, capacity
• Reduce manual transactions, errors, and cost through process improvement
• Apply 5S/lean principles to storage, receiving, shipping areas
• Train staff on material handling, request, and traceability practices

Required Qualifications

• 6+ years in inventory control, materials management, or supply chain operations, including 2+ years in a regulated/highly documented manufacturing environment
• Demonstrated ownership of an inventory/materials function — set policy and built process, not just executed
• Hands-on experience implementing/rebuilding an ERP, MRP, or inventory system, including item master and BOM structure
• Working command of receiving, incoming inspection, material status control, and lot/serial traceability
• Purchasing experience including quoting, negotiation, and supplier performance management
• Experience preparing regulated/dangerous goods shipments, or ability to certify promptly after hire
• Strong analytical/spreadsheet skills (lookups, pivot tables, data cleanup)
• Clear written/verbal communication with credibility across technical teams, leadership, suppliers, auditors
• Self-directed, comfortable with ambiguity, able to build structure where none exists
• Willing to stay hands-on — owns strategy and also unloads the truck

Preferred Qualifications

• Medical device, IVD, pharmaceutical, or other FDA-regulated manufacturing experience; eQMS familiarity
• Direct experience with 21 CFR Part 820/QMSR, ISO 13485, or GxP, including audits as process owner
• Greenfield/early-stage materials management experience
• Cold chain handling and biological materials shipment
• D2C fulfillment and/or 3PL selection/management experience
• Lab, biotech, or electronics manufacturing background; photonics/electrical/lab components familiarity
• Off-site storage, warehouse buildout, or facility move experience
• Bachelor's degree in supply chain, business, engineering, or related field; APICS/ASCM (CPIM, CSCP) or Lean/Six Sigma credential

Physical Requirements & Work Environment

• On-site role: office, laboratory, and manufacturing/warehouse environment
• Ability to lift/move up to 50 lbs; heavier loads with mechanical assistance
• Frequent standing, walking, bending, reaching, climbing step ladders
• PPE use in lab/production areas; work in/around BSL-2 lab (training provided)
• Occasional local travel to off-site storage locations
• Occasional flexibility in hours for shipping deadlines, deliveries, or inventory counts
