Qualifications

  • Bachelor's degree or equivalent in SCM or related field.
  • 5–8 years in apparel production, logistics, inventory control or operations.
  • Experience with inbound international shipments from overseas factories.
  • Ability to review shipping docs including invoices, packing lists, bills of lading, customs.
  • Experience reconciling shipment, receiving or inventory discrepancies.
  • Strong knowledge of warehouse receiving and inventory control processes.
  • Experience working in an ERP system.
  • Strong reporting, follow-up and issue resolution skills.
  • Excellent attention to detail.
  • Ability to manage multiple priorities in a fast-paced environment.

The Role

Responsible for maintaining accurate inventory controls and visibility from factory shipment through warehouse receipt and reconciliation, including inbound logistics, inventory discrepancies, ERP inventory transactions, reporting and issue resolution. This role owns the flow of inventory from what shipped, to what arrived, to what was received, to what is reflected in ERP, and what still needs to be resolved.

Responsibilities
Factory Shipment Coordination
  • Coordinate factory shipments from shipment booking through warehouse delivery
  • Track production readiness and shipping schedules
  • Review packing lists, commercial invoices, carton details, labels and shipping instructions
  • Ensure required shipment documents are complete before goods leave the factory
  • Monitor shipments in transit and communicate status updates internally
  • Escalate delays and work with factories and freight partners to resolve issues
Logistics Management
  • Coordinate with freight forwarders, customs brokers and transportation partners
  • Ensure customs documentation is complete and submitted on time
  • Manage shipment timelines to support delivery commitments
  • Track freight costs and transportation expenses
  • Monitor carrier performance and flag recurring issues
Accounts Payable Support
  • Own or support the AP process for shipment related expenses, including:
  • Factory invoices
  • Freight invoices
  • Customs and duty invoices
  • Other logistics related expenses
Receiving and Inventory Reconciliation
  • Review warehouse receiving reports
  • Reconcile shipped quantities against received quantities
  • Investigate shortages, overages, damages and missing cartons
  • Determine whether discrepancies are caused by factory error, freight issue, receiving error or system issue
  • Coordinate claims or factory follow up with Production
  • Ensure inventory corrections are reflected in ERP
  • Track recurring issues and identify root causes
  • Drive open discrepancies through closure
Inventory Management and Controls
  • Run recurring inventory reports
  • Monitor inventory discrepancies and unusual inventory movement
  • Track inventory adjustments and transfers
  • Identify potential stock shortages or inventory risks
  • Escalate reorder needs or inventory gaps to the appropriate decision maker
  • Maintain visibility into unresolved inventory issues
  • Support monthly inventory reporting for Operations and Finance
ERP Responsibilities
  • Maintain shipment documentation within ERP
  • Enter and review packing lists and shipment information
  • Create and review Production Shipments
  • Review receiving transactions and inventory updates
  • Understand inventory adjustments and transfers
  • Generate shipment, receiving and inventory reconciliation reports
  • Support inventory reporting and operational reporting needs
  • Partner with Warehouse, Production, Finance and Operations to ensure ERP reflects physical inventory accurately
  • Assist with troubleshooting shipment and inventory discrepancies within ERP
Cross Functional Collaboration
  • Serve as the primary liaison between Production, Warehouse, Finance and Operations for inbound inventory and inventory discrepancies
  • Ensure shipment and receiving information flows accurately between departments
  • Communicate shipment issues, inventory discrepancies and operational impacts in a timely manner
  • Partner with Warehouse to resolve receiving and inventory issues
  • Partner with Production to resolve factory shipment, packing list and documentation issues
  • Partner with Finance on inventory reconciliation and shipment related reporting
  • Support continuous improvement of inbound inventory and inventory control processes
Qualifications
  • Bachelor’s degree in Supply Chain Management, Business, Operations, Logistics, Fashion Merchandising or related field, or equivalent industry experience
  • 5 to 8 years of experience in apparel production, logistics, inventory control, supply chain or operations
  • Experience managing inbound international shipments from overseas factories
  • Ability to review shipping documentation including commercial invoices, packing lists, bills of lading and customs documents
  • Experience reconciling shipment, receiving or inventory discrepancies
  • Strong understanding of warehouse receiving and inventory control processes
  • Experience working in an ERP system
  • Strong reporting, follow up and issue resolution skills
  • Exceptional attention to detail
  • Ability to manage multiple priorities in a fast paced environment
  • Comfortable working cross functionally with Production, Warehouse, Finance and Operations
