The Opportunity:

We are seeking a detail-oriented and proactive Inventory Coordinator to manage ourinventory data and ensure accuracy across the business. This role will be critical in ensuring the business has clear and reliable information for inventory across all locations and channels.

Reporting into Supply Chain, this role is the primary operational owner of inventory accuracy and physical inventory control across warehouses, co-manufacturers, and third-party logistics providers (3PLs). This role is responsible for maintaining the “physical truth” of inventory through operational reconciliation, investigation, count execution, inventory adjustment support, and process control activities.

The ideal candidate has advanced experience in Netsuite, analytical skills, the ability to track down root causes, and implement sustainable solutions. We value a strong focus on accuracy, efficiency, and teamwork.

At Woof, we believe that dogs can teach us to become better versions of ourselves, and we’re committed to making life better for pets and their people. We hope you’ll be part of our pack.

Responsibilities:
Inventory Accuracy & Physical Inventory Control
  • Own Physical & Operational Accuracy: Maintain the “physical truth” of inventory across warehouses, co-manufacturers (co-mans), and 3PL partners.
  • On-Site Co-Manufacturer Counts: Directly perform, oversee, and verify mandatory on-site physical inventory counts and cycle counts at all co-manufacturing sites.
  • Reconciliation & Investigation: Reconcile count variances on-site and remotely, investigating physical discrepancies, transactional errors, shrinkage, and production yield variances.
  • Operational Integrity: Monitor and safeguard inventory accuracy across inbound materials, work-in-progress (WIP) at co-manufacturers, finished goods, transfers, and fulfillment.
  • SOP Development: Establish and enforce standardized inventory control procedures and physical count SOPs for internal teams and external co-manufacturers.
Item Master & BOM Management
  • Own item master data creation and maintenance within NetSuite ERP
  • Create, maintain, and update inventory items, assemblies, kits, and related item attributes
  • Maintain and update Bills of Materials (BOMs) and support BOM accuracy across operational processes
  • Coordinate with Supply Chain, Procurement, Operations, Product Development, and Finance on item setup requirements and changes
  • Ensure inventory-related master data integrity and consistency across systems and operational workflows
  • Support SKU onboarding, lifecycle management, and operational ERP controls
Cycle Counts & Physical Inventories
  • On-Site Audit Execution: Lead and conduct physical counts and cycle count audits at co-manufacturing plants, warehouse locations, and 3PL facilities.
  • Co-Man & Partner Coordination: Partner directly with co-manufacturer plant management and 3PL teams to ensure count execution accuracy, compliance, and adherence to company SOPs.
  • Root-Cause Analysis: Investigate physical inventory discrepancies on-site to identify operational root causes (e.g., yield loss, unreported scrap, staging errors) and enforce corrective action plans.
  • Period-End Counts: Execute monthly, quarterly, and annual physical inventory procedures, requiring frequent hands-on travel to facility locations.
Item Master & BOM Management
  • NetSuite ERP Management: Own item master data creation and maintenance within NetSuite ERP.
  • Master Data Integrity: Create, maintain, and update inventory items, assemblies, kits, and related item attributes.
  • BOM Accuracy: Maintain and update Bills of Materials (BOMs), ensuring raw material consumption and yield assumptions match physical co-manufacturer production processes.
  • Cross-Functional Collaboration: Partner with Supply Chain, Procurement, Operations, Product Development, and Finance on item setups and BOM revisions.
  • Lifecycle Control: Support SKU onboarding, lifecycle management, and operational ERP controls.
Inventory Adjustments & Operational Support
  • Adjustment Workflows: Manage inventory adjustment requests and maintain complete audit-ready supporting documentation.
  • Variance Validation: Compile and validate documentation for write-offs, damages, scrap, shortages, overages, and production variances from co-manufacturers.
  • Finance & Accounting Submission: Submit verified adjustment requests to Accounting for financial review and ledger processing.
  • Issue Resolution: Partner cross-functionally to resolve inventory discrepancies and transactional issues quickly.
Supply Chain & Operations Support
  • Partner Oversight: Oversee inventory workflows across warehouses, co-manufacturers, and 3PL partners to resolve operational breakdowns.
  • KPI Monitoring: Track inventory KPIs (count accuracy, variance rates, shrinkage) and implement corrective action plans for recurring failures.
  • Partner Onboarding: Assist with onboarding new co-manufacturers and 3PLs to establish inventory control controls and reporting standards.
  • Process Improvement: Support systems implementations and continuous operational improvement projects.
ERP & Systems
  • Transaction Auditing: Utilize NetSuite ERP and warehouse systems to monitor receipts, transfers, production consumption, adjustments, and fulfillment transactions.
  • Reporting & Dashboards: Maintain inventory discrepancy logs, audit summaries, and operational dashboards.
  • System Integrity: Ensure transactional integrity and strong system controls across all inventory nodes.
Qualifications & Skills:
  • Experience: 3+ years in inventory control, warehouse operations, supply chain, or plant/manufacturing inventory operations.
  • Co-Man Experience: Demonstrated experience conducting physical counts and managing inventory controls within co-manufacturing (co-man) or 3PL operational environments.
  • ERP Proficiency: Experience working within NetSuite ERP strongly preferred.
  • Education: Bachelor’s degree in Supply Chain, Operations, Business, or a related field preferred.
  • Technical Skills: Advanced Excel / Google Sheets skills; familiarity with Warehouse Management Systems (WMS).
  • Analytical & Detail-Oriented: Strong root-cause investigation skills, high attention to detail, and process orientation.
  • Adaptability: Ability to manage multiple priorities and work effectively in fast-paced manufacturing and warehouse environments.
Preferred Qualifications:
  • Experience in omnichannel inventory environments (Retail, Amazon, DTC, Wholesale).
  • Direct experience leading external inventory audits, wall-to-wall physical counts, and plant-level cycle counts.
  • Proven track record establishing inventory SOPs at external co-manufacturing sites.
  • Experience managing item master data and BOM structures in ERP environments.
Travel Requirements
  • Cyclical travel within the US is required to conduct mandatory on-site physical inventory counts, plant audits, and operational recipes at co-manufacturing facilities and 3PL warehouses.
