  • Assist with timelines, scheduling, and milestone tracking.

THE ROLE

The Design Administrative Assistant serves as a critical operational partner to our design and construction teams.

This role ensures projects remain organized, communicated, scheduled, and executed at the highest level of accuracy and professionalism.

You will act as the connective link between designers, vendors, contractors, and clients — supporting the seamless delivery of luxury turnkey homes.

KEY RESPONSIBILITIES
Construction & Design Coordination
  • Support designers in aligning design intent with construction execution
  • Review drawings and documentation for completeness
  • Coordinate communication with contractors, architects, and vendors
  • Assist with scheduling site visits and tracking follow-ups
Project Management Support
  • Assist with timelines, scheduling, and milestone tracking
  • Monitor project progress and proactively flag delays
  • Help maintain purchasing and budget documentation
  • Support installation preparation and execution
Administrative Operations
  • Maintain organized project files and documentation
  • Coordinate meetings, installations, and appointments
  • Prepare agendas, reports, and internal updates
  • Track selections, approvals, and orders
  • Research finishes, furnishings, and materials
  • Assist with sourcing and procurement coordination
  • Verify product specifications and vendor details
  • Support order tracking through installation
Client Experience Support
  • Assist with client communications and updates
  • Help maintain a seamless luxury client experience
QUALIFICATIONS
  • Background in Interior Design, Construction Management, or related field preferred
  • Experience supporting construction or interior design projects strongly preferred
  • Exceptional organizational and multitasking ability
  • Strong communication and interpersonal skills
  • Tech-savvy with ability to learn systems quickly
  • AutoCAD, SketchUp, or design software experience is a plus
  • Ability to thrive in a fast-paced, high-standard environment

  • Monday – Thursday: 9:30 AM – 5:00 PM
  • Friday: 9:30 AM – 3:00 PM
  • No nights
