The Philadelphia Bar Association is looking for a part-time Interim Events Coordinator to help support and manage meetings and special events. This temporary position will ensure the successful continuation of ongoing and planned events. This role is a great opportunity for someone with some experience in event planning or coordination who is ready to take the next step. The ideal candidate is organized, detail-oriented, and comfortable working with a variety of people—including members, sponsors, vendors, and speakers. We’re looking for someone who enjoys working on a team, can handle multiple tasks, and is excited to help create smooth, engaging, and well-run events for our members.

The position will run from mid-July through mid-October 2025 with a schedule of 20 hours per week at the Philadelphia Bar Association offices in Center City, Philadelphia.

Responsibilities:

·Assist with coordinating event logistics, including communicating with venues, caterers, and vendors.

·Help track event timelines and checklists to ensure all tasks are completed on schedule.

·Support meeting and event planning for Association Sections and Committees.

·Help prepare and distribute event materials such as invitations, registration links, and run-of-show documents.

·Coordinate event registration, track RSVPs, and provide on-site support.

·Assist with updating the Association’s events calendar and website event listings.

·Work with the Communications team to help share event announcements and reminders.

·Support post-event wrap-up, including collecting feedback, organizing expenses, and summarizing attendance.

·Provide general administrative support and help with other projects assigned by the Executive Director or Chancellor.

Qualifications

·Bachelor’s degree and 2–3 years of event coordination or planning experience.

·Prior experience with live and virtual events.

·Strong organizational and project management skills; ability to manage multiple priorities in a deadline-driven environment.

·Familiarity with contracts, budgeting, and event logistics.

·Excellent communication and interpersonal skills.

·Proficiency in Microsoft Office Suite; experience with event registration platforms or association management software a plus.

·Availability to attend evening events as needed.
