We are currently seeking an Events Coordinator to join our amazing team!

Job Overview

POSITION FOCUS

The Event Coordinator assists in achieving customer satisfaction by performing administrative duties relating to guests, hotel communications, and sales. This position is responsible for coordinating room blocks booked by the sales team, communicating information about these groups on resumes, and working directly with customers to plan successful stays. The candidate will respond to telephone and in-person inquiries regarding reservations, hotel information, and guest concerns. The position is 5 days in-office and works a variable schedule based on demands, generally M-F during the slower season and T-Sa during the busy season.

Responsibilities

  • Manage room blocks by determining customer needs, updating systems, and communicating with the hotel weekly.
  • Support sales and event team by answering phones and responding to inquiries professionally and promptly.
  • Type correspondence, reports, contracts, and prepare proposals or other letters as needed.
  • Coordinate group and wedding block business in collaboration with the catering and sales manager/DOS. Follow up on signed contracts within five (5) working days and determine customer needs.
  • Communicate effectively with departments to ensure successful meeting and event execution that exceeds client expectations.
  • Maintain organized, accurate, and up-to-date client files for efficient service.
  • Build strong customer relationships through professional communication and courteous interaction.
  • Work with sales team to achieve sales goals.
  • Stay informed about hotel rates, strategies, discounts, and promotions.
  • Develop communication systems to inform the hotel team about upcoming events.
  • Assist with implementing hotel-specific selling strategies.
  • Follow up promptly on customer needs and inquiries, ideally the same day or by 10 am the next business day.
  • Represent the hotel with integrity, professionalism, and a service-focused attitude.
  • Maintain a positive team attitude and open communication with all departments.
  • Present a neat, professional appearance at all times.
  • Assist with monthly luncheons, client events, and conduct walk-in tours.
  • Create gift bags for VIPs and guests, keeping supplies stocked.

Qualifications

Education/Training

High school diploma or vocational secretarial training.

Experience

Previous sales, hospitality, or secretarial experience preferred.

  • Strong grammar, punctuation, and business writing skills.
  • Excellent editing, communication, and multitasking skills.
  • Good hearing and vision for phone inquiries, reading, and filing.

Physical Demands

  • Repeated bending/kneeling; reaching all hotel areas; occasional standing; lifting files/items up to 25 lbs.
