Job Description:

The Gifts & Records Integrations Manager provides leadership and oversight for advancement data integrations, data exchange processes, reconciliation activities, and operational controls supporting philanthropic revenue and advancement systems. Reporting to the Associate Director of Gifts & Records, this role serves as the primary business lead for monitoring integration performance, directing resolution of data exceptions, defining business requirements, validating system changes and strengthening data quality controls. The Manager works closely Development Information Systems (DIS) and Finance & Accounting to ensure the accuracy, completeness, and integrity of data across systems and identify opportunities to strengthen operations through automation and emerging technologies.

Advancement Integration Operations
  • Lead the day-to-day operation of advancement data integrations and automated data exchanges, including online giving, alumni memberships, broadcasting services, affinity giving, and more.
    • Resolve biographical interims flagged for manual review, matching donor information or creating new entities.
    • Correct gift records stalled during the gift loading process.
    • Review processed donor information for possible duplicate entity creation.
    • Close daily gift sessions for review and approval by the Associate Director.
  • Establish monitoring procedures and service standards for data integrations.
  • Ensure timely identification, escalation, and resolution of integration failures and exceptions and lead business-side resolution of related data exceptions.
  • Maintain operational visibility into integration performance and data flow health.
  • Oversee validation and review of system-generated sessions and automated data loads.
  • Establish controls to identify incomplete, duplicate, or inaccurate records resulting from integrations.
  • Lead resolution of complex data exceptions/inconsistencies in partnership with Development Information Systems and/or Finance & Accounting.
  • Assist in resolving interims for biographical integrations, like student data loads, during periods of high volume.
  • Recommend process improvements that reduce recurring errors and manual intervention.
System Enhancements & Implementation Projects
  • Represent Gifts & Records on technology projects impacting data integrations.
  • Collaborate with IT and vendors to define business requirements and acceptance criteria.
  • Lead business side testing and validation for new integrations, upgrades and system enhancements, including development and execution of user acceptance testing plans and post-implementation data validation.
  • Identify and evaluate opportunities to improve integration and data operations through automation, AI and other emerging technologies, and recommend solutions that improve efficiency, strengthen controls and reduce operational risk.
  • Serve as a subject matter expert on integration workflows and business processes.
  • Develop and maintain reconciliation processes supporting philanthropic revenue, including opportunities to strengthen controls and increase automation where appropriate.
  • Partner with Finance & Accounting to ensure accurate recording and transmission of gift transactions and assist with resolution of discrepancies between advancement and financial systems.
  • Validate transaction coding, fund assignments, appeal designations, and financial interfaces.
  • Ensure reconciliation controls are documented, monitored, and consistently applied.
Supervision & Staff Development
  • Lead, coach, and evaluate integration and reconciliation staff, establishing clear goals and performance expectations.
  • Foster a culture of accountability, innovation, and continuous improvement.
  • Support professional development related to integration management, analytics, automation and emerging technologies.

$50,000-60,000 annually, commensurate with education and experience.
