Job summary

NMILC is seeking an organized administrative assistant to support immigrants through screening, data entry, and case management. You will work with clients and legal staff to gather information, prepare intake, and document requests in a fast-paced environment.

Responsibilities include maintaining legal files, coordinating with the Remote Workshop Team, and handling high-volume phone duties while ensuring accuracy and timeliness per grant obligations.

Qualifications

  • Must be bilingual in Spanish and English.
  • Excellent written and oral communication skills in both Spanish and English.
  • Strong interviewing skills and desire to interact with many people daily.
  • Understanding and familiarity with immigration law and processes is a plus.
  • Experience with VOIP phone systems and call handling in a high-volume environment is a plus.
  • Ability to prioritize workload, manage time and tasks, and meet deadlines in a dynamic environment.

Responsibilities

  • Provide initial screening, information, and referrals to immigrants by phone and in person.
  • Gather information and data to verify service eligibility, summarize prospective clients’ legal problems, and document service requests.
  • Apply NMILC eligibility guidelines, priorities, and case acceptance availability to evaluate assistance levels.
  • Work directly with immigrant clients and NMILC legal representatives to prepare immigration cases.
  • Enter required client data into the Legal Server case management system.
  • Assist the Remote Workshop Team with immigration matters including citizenship, green card renewals, and DACA.
  • Respond to incoming and make outgoing telephone calls for the Remote Workshop Program.
  • Support maintenance of legal file systems using Legal Server, Dropbox, and paper files.
  • Provide large-scale printing, mailing, and filing assistance to Remote Workshop legal staff.
  • Maintain, store, and retrieve physical and electronic files.
  • Log incoming client mail, send requested packets, and return supervised client calls.
  • Support the reception desk by answering calls, greeting guests, and maintaining a welcoming environment.
  • Ensure accurate and timely file maintenance and data entry, following case management protocols, legal ethical standards, and grant requirements.
  • Complete accurate and timely Time and Attendance Reports.
  • Perform assigned data entry and administrative duties.
  • Perform other duties as assigned.
