Intake and Scheduling Coordinator (Remote)

Job Overview

The Intake and Scheduling Coordinator (“ISC”) acts as the liaison between patients and providers, ensuring proper scheduling for Behavioral Health visits and completing all necessary intake information before appointments. The ISC confirms appointment details with all parties and resolves scheduling conflicts. Additionally, the ISC facilitates communication between QV’s practice and outside counselors to ensure continuity of care, and handles administrative duties such as responding to medical record requests, referral processing, insurance authorizations, and other tasks.

Key Responsibilities
  1. Serve as the main contact between patients and providers, relaying information and concerns to foster collaboration.
  2. Contact patients for appointment reminders and triage incoming calls.
  3. Ensure accurate and updated patient demographic and insurance information, including collecting copays.
  4. Advocate for resources and improvements to enhance clinic performance.
  5. Maintain punctuality and reliability in scheduled work.
  6. Comply with HIPAA and confidentiality policies.
  7. Manage medical record requests, patient referrals, and appointment scheduling.
  8. Verify benefits and obtain prior authorizations from insurance companies.
  9. Coordinate patient care by contacting patients and providers regarding appointments and referrals.
  10. Utilize EMR systems effectively for patient care duties.
  11. Perform other duties as assigned with integrity and honesty.
Minimum Requirements
  • Reliable internet connection with minimum 50 Mbps download and upload speeds.
  • Ability to use Ring Central for Wi-Fi calling on personal or provided phones.
  • Functioning computer, desktop, or laptop provided by the company.
Education & Certifications
  • High School diploma or equivalent.
  • Iowa Mandatory Reporting (Adult and Child).
  • College coursework preferred.
