Description
The Intake and Scheduling Coordinator (“ISC”) is responsible for acting as the liaison between patients and providers. The ISC ensures patient appointments are scheduled properly for Behavioral Health visits and all necessary intake information is completed before the patient’s appointment. The ISC confirms all parties involved are notified of dates and times and resolves scheduling conflicts. The ISC will also be responsible for facilitating relations between QV’s practice and outside counselors to ensure patients continuity of care by assisting with connecting and/or scheduling parties together. The ISC’s administrative duties will include responding to medical record requests, referral processing, insurance authorizations, patient appointment scheduling, program communication to potential candidates, communication with referral sources and other tasks assigned.
Job Duties
- Act as a key point of contact between patients and providers
- Relay information, concerns, and feedback from both sides to ensure mutual understanding and collaboration
- Contacts patients prior to appointment via verbal call for courtesy appointment reminder
- Triage incoming phone calls to department
- Ensure patient demographic and insurance information is accurate and updated. Collect patient copay over the phone.
- Advocate for necessary resources, support, and improvements to enhance clinic performance
- Reliable and punctual when reporting for scheduled work
- Understanding of HIPPA requirements
- Adheres to patient confidentiality policies
- Responds to medical record requests
- Responsible for the tracking, coordination and communication of patient referrals
- Ensures complete and accurate patient registration, including demographics and current insurance information
- Assembles information concerning patient’s clinical background and referral needs
- Contacts insurance companies to ensure verification of benefits and prior authorization approval requirements are met
- Reviews details and expectation of referral with the potential patient
- Ensures that referrals are addressed in a timely manner
- Completes prior authorizations as needed for referrals
- Contacts patients regarding upcoming or missed appointments
- Answers and triages phone calls from patients
- Utilizes EMR functionality to address patient care duties
- Acts with honesty and integrity in all business transactions, including, but not limited to, employment applications/resumes, patient records, time records, and financial transactions
- All other duties as assigned

- Reliable Internet: Required to have reliable internet for remote position. Download and upload speed must be at minimum 50mbp separately, not combined.
- Phone: Ability to use Ring Central for wi-fi calling line on personal cell phone and/or stationary phone provided from company
- Computer: Functioning computer, desktop, and/or laptop provided from company
EDUCATION
- High School graduate or equivalent
- Iowa Mandatory Reporting (Adult and Child)
- College work preferred
