Job description

Role Summary

The purpose of this position is to provide a uniform and equitable allocation of available manpower for assigned work, following Allocation Rules and directives from the Sub-Steering Committee and Area Managers. Responsibilities include resource allocation, report generation, and time tracking. The position requires working up to 40 hours weekly on an assigned shift, with the employee responsible for accurate and timely completion of duties listed below.

Responsibilities and Duties
  • Communicating daily with clients and dispatch halls via phone.
  • Maintaining professional relationships with Union dispatchers and clients.
  • Preparing daily allocation worksheets, office manpower reports, and weekly Coast manpower reports.
  • Managing Foreman check-in requests.
  • Updating work logs with vessel, berth, company, arrival/departure times, and gang utilization data.
  • Applying industry Allocation Rules consistently and enforcing vessel cuts during manpower shortages.
  • Preparing and authorizing weekly payrolls for joint dispatchers.
  • Maintaining logs and records, including transcribing dispatch hall tapes twice daily.
  • Updating Excel spreadsheets regularly.
  • Participating in industry meetings as needed.
  • Filing and maintaining records systematically.
  • Supporting Administrative Specialists with various duties.
  • Ensuring ISO standards and security protocols are upheld through documentation and compliance.
  • Communicating via email and professional correspondence with high accuracy.
  • Generating reports based on client instructions, using client software or other programs, and maintaining updates.
  • Monitoring email inboxes for new projects and setting up projects in workflow tools.
  • Performing other duties as assigned.
Required Skills/Abilities
  • Ability to perform accurately and professionally in high-stress environments.
  • Exceptional written and oral communication skills.
  • Expertise in Microsoft Office Suite, Adobe Acrobat, and industry-specific software; ability to learn Oracle.
  • Ability to operate standard office equipment.
  • Multi-tasking skills to oversee multiple projects and meet deadlines.
  • Ability to handle confidential information responsibly.
  • Effective communication with employees, union representatives, and clients.
  • Detail-oriented, organized, self-motivated, and independent problem solver.
Education and Experience
  • 1-2 years of computer-related experience.
  • Four-year degree or certification in office work, or 4-5 years of relevant office experience.
