Job summary

Adams and Reese is seeking an Insurance Practice Operations Manager to support the firm’s insurance practice, with potential expansion to other areas. The role emphasizes accurate matter data, budget monitoring, billing improvements, and timely operational reporting.

The candidate will be a central resource for insurer requirements, SIR collections, matter administration, and process improvements; advanced Excel skills and experience with Intapp, 3E and iManage are preferred.

Responsibilities

• Maintain centralized insured matters spreadsheet by insurer and client.
• Populate new matter details into the spreadsheet promptly.
• Organize iManage workspace shortcuts by client and matter category.
• Maintain insurer guidelines, required report formats, and panel counsel rate agreements.
• Update the status of every matter monthly and consult attorneys when needed.
• Ensure engagement correspondence is sent to clients with an SIR and saved in iManage.
• Calendar budget deadlines and mandatory reporting deadlines for supervising attorneys and associates.
• Monitor deadlines for initial case assessments, pre-trial reports, and other submissions.
• Provide monthly matter-status reports to billing attorneys and leaders as needed.
• Assist with budgeting and monitor billings against approved budgets and promote timely collections.
• Use AI tools to identify billing guideline issues and analyze insurer reductions.
