Job description

Summary

Assists members of the Insurance Operations Department by completing a wide variety of assignments that involve technical complexity. Demonstrates a solid understanding of procedures and ability to produce timely high‑quality work.

Essential Functions
  • Collects, analyzes, and maintains data relating to specific accounts and claim trends.
  • Conducts day‑to‑day processing activities, including data entry, notes, entering incident details, creating exposures, and associated tasks to assist the Claims Analysts.
  • Reviews and maintains materials received or produced by the Insurance Operations department, including legal pleadings, billings and invoices.
  • Initiates claim investigations.
  • Drafts correspondence, including investigation letters and coverage analysis letters.
  • Drafts claim summaries for Claims Analysts.
  • Assists in setting up meetings for Insurance Operations Department associates as requested.
  • Assists in the preparation of weekly, monthly, and quarterly reports for the Claims Management team, affiliate companies, and the parent company.
  • Completes requested research – corporate, case law, reports, and searches.
  • Assists in collecting and reviewing materials related to implicated insurance coverage for specific accounts.
  • Gathers, analyzes, and organizes information, legal pleadings, discovery and other documents.
  • Oversees collection of records and other information for dissemination to outside counsel.
  • Performs various aspects of the litigation process in compliance with standard procedures.
  • Consults, assists and coordinates with Litigation Managers and outside coverage counsel on all aspects of case management.
  • Establishes and maintains effective working relationships, both internally and externally, to ensure compliance with case deadlines.
  • Acts as project manager to track tasks/assignments, persons responsible, and target deadlines.
  • Reviews complaints to identify pertinent causes of action and document categories to preserve.
  • Maintains assigned litigation files and databases with appropriate diary controls.
  • Reviews court orders and discovery requests received during litigation and coordinates the collection of data within established deadlines.
  • Assists with legal research including online research tools (WestLaw, PACER).
  • Assists with e‑discovery searches, including searches of emails, internal network drives, and applications.
  • Prepares status reports for Management and assists with audits.
  • Prepares draft reports for Litigation Managers, including draft reinsurance reports with financials.
  • Supports reinsurance with a variety of tasks, including, but not limited to, applying cash.
  • Consistently delivers superior customer service to both internal and external business partners.
  • Serves on committees and special projects as assigned.
  • Empowers self and teammates to continuously improve business processes/systems and develops and escalates ideas and solutions.
  • Empowers self to make decisions within job descriptions and authority; seeks guidance where appropriate.
  • Develops creative ideas and solutions to real‑time business problems and/ or business opportunities; takes reasonable, calculated risks even if failure is possible.

Experience
  • A minimum of one year of business‑related experience required.
  • Prior work experience in an insurance claims department or law firm and/or experience as a litigation paralegal.
  • Customer service experience preferred.
Required Education

Associate’s Degree, Paralegal Certification from an ABA‑approved program or relevant work experience.

Preferred Education

Bachelor’s Degree is preferred.

Travel

Minimal to moderate, based upon business needs.

Work Environment / Physical Demands

This position operates in a professional, collaborative environment and must have the ability to timely produce thorough, accurate work with many competing demands, deadlines, and distractions. The position uses standard equipment such as phones, computers, copiers/printers, and filing cabinets. Noise level is moderate. Other duties may be assigned as needed.
