Job summary

Steele Insurance Associates Inc. in Ohio seeks a full-time Administrative Specialist to maintain client files, process policy changes, issue COIs, and assist with bindings and renewals. You will work with producers, account managers, and carriers in a fast-paced office environment.

Qualifications

  • High school diploma required; Associate's or Bachelor's degree preferred.
  • 1–2 years of administrative or insurance industry experience preferred.
  • Property & Casualty license preferred, or willingness to obtain.
  • Strong organizational, communication, multitasking, and attention-to-detail skills.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.

Responsibilities

  • Maintain and update client files, policy records, and certificates of insurance.
  • Process policy changes, endorsements, cancellations, and renewals in the agency management system.
  • Issue certificates of insurance (COIs) and auto ID cards upon request.
  • Assist with binding coverage and submitting applications to carriers.
  • Support producers and account managers with submissions, proposals, and renewal packages.
  • Prepare correspondence, reports, presentations, and marketing materials.
  • Schedule meetings, manage calendars, and coordinate with carriers and underwriters.

Key Responsibilities Client & Policy Administration
  • Maintain and update client files, policy records, and certificates of insurance.
  • Process policy changes, endorsements, cancellations, and renewals in the agency management system.

Customer Service
  • Serve as a first point of contact for client inquiries via phone and email.
  • Respond to routine coverage questions and direct complex matters to licensed staff.
Team Support
  • Support producers and account managers with submissions, proposals, and renewal packages.
  • Prepare correspondence, reports, presentations, and marketing materials.
  • Schedule meetings, manage calendars, and coordinate with carriers and underwriters.
Compliance & Documentation
  • Ensure all policy and client documentation meets regulatory and agency standards.
  • Maintain organized electronic and physical filing systems.
  • Track expiration dates, renewal timelines, and follow-up activities.
Qualifications
