Job description

Make It Easy. Build Confidence. Own the Outcome.

At Solucient, exceptional security solutions require more than quality equipment and skilled technicians. They require thoughtful coordination, clear communication, accurate information, and someone who can bring all the moving parts together.

The Installation and Service Coordinator helps create that experience.

In this role, you will coordinate installation projects and service requests from initial scheduling through completion. You will serve as an important connection between our clients, technicians, project leaders, vendors, and internal teams-helping ensure work is prepared, communicated, completed, documented, and ready for billing.

This is not simply a scheduling position. It is an opportunity to make work easier for others, solve problems before they grow, and create confidence at every step.

Who We Are

Solucient is a commercial electronic security company providing security, fire alarm, access control, video surveillance, and monitoring solutions.

We are committed to creating exceptional experiences through The Solucient Way:

  • Be Curious - Ask thoughtful questions, look beyond the immediate request, and seek to understand.
  • Make It Easy - Remove confusion, reduce unnecessary steps, and help clients and teammates move forward.
  • Build Confidence - Communicate clearly, follow through, and help others know what to expect.
  • Sweat the Details - Recognize that accurate information and careful preparation prevent larger problems.
  • Finish with WOW - Own the outcome and ensure work is fully completed, not simply passed along.
What You Will Do

As the Installation and Service Coordinator, you will manage the communication, scheduling, documentation, and administrative activities that support successful installation and service operations.

You will help ensure that technicians arrive prepared, clients understand what to expect, internal teams have accurate information, and completed work moves efficiently through documentation and billing.

Installation Coordination
  • Schedule installation projects based on client needs, technician availability, project requirements, equipment readiness, and established priorities.
  • Confirm installation dates, site contacts, access requirements, working hours, and other important details with clients.
  • Review project information before scheduling to identify missing documentation, equipment, approvals, or site requirements.
  • Coordinate with, Solution Designers, technicians, Inventory and purchasing, and other departments to support project readiness.
  • Communicate schedule changes promptly and professionally.
  • Track installation progress and follow up on incomplete work, open items, return visits, and project closeout requirements.
  • Ensure completed project documentation is accurate and submitted on time.
  • Support preparation for client training, system acceptance, inspections, and final turnover.
Service Coordination
  • Receive, document, prioritize, and schedule client service requests.
  • Ask thoughtful questions to understand the issue and gather information that may help the technician arrive prepared.
  • Coordinate emergency, priority, and routine service calls according to company standards.
  • Assign work based on technician skill, location, availability, client needs, and service urgency.
  • Communicate appointment windows and service expectations to clients.
  • Monitor the daily service schedule and respond to delays, emergencies, cancellations, and changing priorities.
  • Follow up on incomplete service calls, ordered parts, return visits, and unresolved client concerns.
  • Support fire inspection scheduling and recurring service activities.
Client and Technician Support
  • Provide responsive, professional, and compassionate assistance to clients.
  • Keep clients informed when schedules, arrival times, parts availability, or project conditions change.
  • Provide technicians with accurate work orders, client information, site details, project documentation, and scheduling expectations.
  • Serve as a dependable communication resource for technicians working in the field.
  • Help resolve scheduling conflicts and operational barriers without creating unnecessary complexity.
  • Escalate safety concerns, client dissatisfaction, project risks, and operational issues appropriately.
Documentation and Administrative Support
  • Maintain accurate information in company scheduling, customer relationship management, service, and project systems.
  • Review technician documentation for completeness and follow up on missing information.
  • Verify labor, materials, completion notes, purchase orders, and other information needed for billing.
  • Support timely service and project billing reconciliation.
  • Maintain organized electronic records and communication histories.
  • Prepare reports related to scheduling, open work orders, return visits, documentation, and operational performance.
  • Protect confidential client, employee, and company information.
What Success Looks Like

Success in this role means more than keeping the calendar full.

It means:

  • Clients know what to expect and feel confident that their needs are being handled.
  • Technicians receive the information and resources they need to be successful.
  • Installation and service appointments are scheduled efficiently.
  • Schedule changes are communicated quickly and clearly.
  • Work orders and project documents are accurate and complete.
  • Open items are followed through to resolution.
  • Preventable delays, return visits, and client frustration are reduced.
  • Completed work moves promptly into closeout and billing.
  • Problems are owned rather than passed from person to person.

You Stay Calm Under Pressure

You can manage interruptions, shifting schedules, urgent requests, and competing priorities without losing professionalism or accuracy.

You Finish with WOW
