Job summary

Oolite Arts seeks an experienced Institutional Giving Manager to lead fundraising from government agencies, private foundations, and corporations. You will manage an existing grants portfolio, write funder-ready proposals, and collaborate with programs and finance to grow institutional support for expanding programs and exhibitions.

Qualifications

  • Bachelor's degree in a nonprofit or arts field and at least 5 years in institutional fundraising or grant writing.
  • Exceptional writing, editing, and proofreading with tailored messaging.
  • Creative, strategic thinker who connects program ideas with funder interests.
  • Collaborative and able to build relationships with staff, leadership, the board, and external partners.
  • Detail-oriented and organized with multiple deadlines and reports.
  • Experience preparing grant budgets and financial reports; government grants preferred.
  • Experience with a board or development committee is a plus.

Job description

Oolite Arts seeks an experienced Institutional Giving Manager to lead Oolite Arts' fundraising from government agencies, private foundations, and corporations. Reporting to the Chief Development Officer, this person oversees an existing portfolio of grants and partnerships while working closely with the programs team to find new funding streams for Oolite Arts' growing programs. The role covers the full lifecycle of institutional support: prospecting, proposal writing, securing awards and partnerships, and stewardship and reporting. The Institutional Giving Manager also works closely with the Board of Directors to open doors to new funders and keep the board informed of institutional giving progress.

The ideal candidate is a creative thinker and skilled writer who can turn program ideas into fundable projects. They are collaborative and collegial, bring careful attention to detail, and are energized by building relationships inside and outside the organization.

ESSENTIAL DUTIES AND RESPONSIBILITIES (include but are not limited to)
New Funding and Program Partnership
  • Partner with the programs team to understand current and planned programs, and identify government, foundation, and corporate funding that can support program growth.
  • Research, qualify, and pursue new funding opportunities at the local, state, and national levels, assessing fit, timelines, and likelihood of success.
  • Think creatively about how programs can be framed, packaged, or developed to match funder priorities, and bring new funding ideas to program and development leadership.
  • Develop and execute an annual institutional giving plan with revenue goals, in partnership with the Chief Development Officer.
Portfolio Management and Stewardship
  • Oversee Oolite Arts' existing portfolio of government, foundation, and corporate grants and partnerships, ensuring renewals are submitted on time and funder relationships stay strong.
  • Prepare accurate, timely interim and final reports for all institutional funders.
  • Ensure program staff know grant deliverables, restrictions, and funding levels so that funded programs are carried out as promised.
  • Build and sustain relationships with program officers, agency staff, and corporate contacts through regular communication, site visits, and invitations to programs and events.
  • Oversee accurate funder recognition across print, digital, and on-site materials.
Grant and Proposal Writing
  • Write, edit, and submit grant proposals, letters of inquiry, applications, and supporting materials that align with funder guidelines and priorities.
  • Manage government grant applications and compliance.
  • Work closely with the finance team to prepare budgets for financial reports.
Corporate Partnerships
  • Identify, cultivate, and secure corporate sponsorships and partnerships, developing customized proposals and benefit packages.
  • Manage the delivery of partner benefits in coordination with marketing and communications.
Operations and Administration
  • Maintain a master calendar of grant deadlines, reporting dates, and deliverables, including internal deadlines for staff input.
  • Prepare institutional giving updates, reports, and briefing materials for board and committee meetings.
  • Maintain complete and accurate records of prospects, proposals, awards, and correspondence in the donor database [e.g., Salesforce, Raiser's Edge, Bloomerang].
  • Track institutional giving revenue against goals and report regularly to the Chief Development Officer.
  • Maintain a library of up-to-date boilerplate language, organizational documents, financials, and program data.
  • Attend and support Oolite Arts' exhibitions, programs, and fundraising events, including some evenings and weekends.
QUALIFICATIONS:
  • Bachelor's degree in Nonprofit Management, Arts Administration, Communications, Art History, English, or a related field.
  • 5+ years of experience in institutional fundraising or grant writing, with a track record of securing government, foundation, and/or corporate support.
  • Exceptional writing, editing, and proofreading skills, with the ability to tailor messaging to different audiences.
  • Creative, strategic thinker who can connect program ideas with funder interests.
  • Collaborative and collegial, with the ability to build strong working relationships with program staff, leadership, board members, and external partners.
  • Detail-oriented and highly organized, able to manage multiple deadlines and reporting requirements at once.
  • Experience preparing grant budgets and financial reports; familiarity with government grant compliance preferred.
  • Experience working with a board of directors or development committee preferred.
  • Proficiency with fundraising databases and prospect research tools [e.g., Candid/Foundation Directory Online].
  • Knowledge of the South Florida philanthropic and cultural landscape strongly preferred.
  • Interest in contemporary visual art and commitment to supporting artists.
  • Bilingual in English and Spanish a plus.
