Job summary

Arizona Arthritis & Rheumatology Associates, P.C. is seeking an Infusion Patient Coordinator to join our Infusion Team in Flagstaff, AZ.

You will act as the primary liaison for infusion patients, coordinating scheduling, provider communication, and treatment readiness throughout the patient’s care journey. Responsibilities include managing appointments, coordinating labs and nursing involvement, and ensuring all required documentation and clearances are obtained before treatment.

Qualifications

• Must be able to work Monday-Thursday from 7:00 a.m. to 6:00 p.m.
• Insurance eligibility and benefits experience.
• Prior authorization experience.
• Medical terminology.
• Experience in medical or insurance field, NextGen knowledge preferred.

Responsibilities

• Serve as the primary point of contact for infusion patients and educate them on the process.
• Schedule infusion and injection appointments; coordinate provider visits and labs.
• Ensure treatment readiness with required documentation and clearances.
• Coordinate treatment plans with nursing staff and update the EHR accordingly.
• Manage scheduling changes, cancellations, and urgent infusion requests.

We are seeking an ambitious, friendly, positive, and compassionate Infusion Coordinator to join our Infusion Team.

The Infusion Patient Coordinator serves as the primary patient liaison for the infusion department, coordinating patient care from initial consultation through ongoing treatment. This role is responsible for delivering exceptional patient experience by managing scheduling, provider coordination and treatment readiness.

Responsibilities

Patient Experience

• Serve as the primary point of contact for infusion patients.
• Conduct infusion consultations and educate patients on the infusion process.
• Explain treatment expectations, appointment requirements, and clinic procedures.
• Build positive relationships with patients throughout their course of therapy.
• Respond to patient inquiries and coordinate appropriate follow-up.

Scheduling & Capacity Management

• Schedule all new and established infusion and injection appointments.
• Coordinate provider visits, laboratory appointments, and infusion treatments.
• Maximize infusion chair utilization while maintaining safe scheduling practices.
• Maintain treatment intervals according to provider orders.
• Manage cancellations, reschedules, and waitlists to reduce treatment delays.
• Coordinate urgent and same-week infusion requests.
• Review future schedules to identify scheduling opportunities and capacity concerns.

Treatment Readiness

Prior to scheduling treatment, verify that all required documentation has been completed, including:

• Required laboratory clearance
• Clinical documentation
• Financial clearance confirmation from Prior Authorization Coordinator

Schedule patients only after treatment clearance has been received.

Clinical & Provider Coordination

• Support providers during infusion consultations.
• Coordinate treatment plans with nursing staff.
• Obtain missing provider documentation when necessary.
• Communicate scheduling changes and treatment updates.Escalate clinical concerns to licensed staff.

Electronic Health Record Management

• Manage infusion-related EHR messages.
• Document patient communications.
• Maintain scheduling documentation.
• Update appointment notes and treatment information.
• Route clinical questions appropriately.
